The Opportunity
We are hiring an Office Administrator / Receptionist to support the daily operations of our clinic. This client-facing role is ideal for someone who thrives in a fast-paced healthcare setting, enjoys multitasking, and values strong communication and teamwork.
This position will begin with part-time hours, with the potential for additional hours based on clinic needs and mutual fit.
Key Responsibilities
Responsibilities include, but are not limited to:
- Managing front desk operations, including patient scheduling, registration, and greeting patients
- Answering phone calls, responding to emails, and handling general inquiries professionally
- Processing payments and managing direct billing, including third-party claims
- Maintaining accurate patient records, data entry, and file organization
- Handling incoming and outgoing correspondence, including mail, faxing, reports, and clinical records
- Assisting with clinic supplies, retail product inventory, and ordering
- Collaborating with practitioners and team members to ensure smooth clinic flow
- Helping maintain a welcoming, organized, and professional clinic environment
- Assisting with clinic cleanliness, including laundry and tidying common areas
What We’re Looking For
- Previous experience in a multidisciplinary clinic or healthcare environment is considered an asset
- Experience with Jane App is considered an asset (training will be provided)
- Strong customer service and communication skills, both written and verbal
- Excellent organizational skills and strong attention to detail
- Ability to establish priorities, work independently, and complete tasks with minimal supervision
- Professional, friendly, and empathetic demeanour
- Interest in assisting with clinic marketing or social media is considered an asset
- Comfortable using computers and learning new software systems

Additional Information
- Clinic hours are Monday to Friday from 9:00 AM to 8:00 PM and Saturdays from 9:00 AM to 2:00 PM
- Shifts will primarily be Monday to Friday, with availability to cover Saturdays if needed
- Starting wage: Based on experience
- Preference will be given to applicants seeking long-term employment and those who live nearby
- Expected start date: August 07, 2026
