Full-Time Deals Administrator — RARE Real Estate Inc.
RARE Real Estate is a fast-moving, high-volume brokerage with a growing roster of agents across Ontario. We are looking for a seasoned Deals Administrator who can hit the ground running — no training wheels, no hand-holding. This role is not for beginners. Only candidates with proven, hands-on brokerage experience will be considered.
What You'll Be Doing
You will be responsible for managing a high volume of deals daily from start to finish — inputting, processing, and closing trades with speed and accuracy. You will own the deals inbox, monitor and action items across brokerage platforms, and ensure every transaction is compliant, complete, and closed correctly. Your day-to-day will include:
- Processing a high volume of agent deals daily across Lone Wolf, brokerage platforms, and MLS
- Managing and triaging the deals inbox — responding to agents and cooperating brokerages to collect outstanding documents
- Reviewing offers, listing paperwork, and transaction documents for completeness and accuracy
- Paying out deals and ensuring all files are properly finalized
- Calculating and verifying agent commissions and fees accurately, including cap and post-cap structures
What You Must Have
- Minimum 2 years of experience as a Deals Administrator or Deal Secretary at a brokerage — ideally with 50+ active agents
- Demonstrated hands-on proficiency with Lone Wolf, BrokerBay, and MLS — you must be able to use these platforms independently from day one
- Strong working knowledge of real estate commission structures, fee calculations, and brokerage deal flow
- Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint) and comfort with Adobe
- Exceptional attention to detail and the ability to manage a large daily deal volume without errors
- Strong written and verbal communication skills when dealing with agents and external brokerages
- Ability to multitask, self-prioritize, and operate effectively in a fast-paced environment
