OBJECTIVE
Reporting to the Senior Manager, Human Resources, this role will maintain a professional and organized reception area, respond to incoming calls and visitor inquiries in a timely manner, support administrative tasks, and achieve high levels of customer satisfaction while contributing to the smooth operation of the office.
QUALIFICATIONS
Education:
- High school diploma (a degree in Business/Office Administration is an asset)
Skills & Experience:
- A minimum of 3-5 years previous reception and office administration experience
- Proven experience with event and meeting coordination
- Experience with booking / coordinating travel
- Proficient in MS Office and general office equipment (copiers, mail machine, printers, etc.)
- Excellent interpersonal and communication skills (verbal and written)
- Professional demeanor and appearance
- Ability to maintain strict confidentiality and use sound judgement
- Strong organizational skills with attention to detail
- Exceptional time-management skills and ability to multi-task
- Ability to take initiative and problem solve independently
PRINCIPAL RESPONSIBILITIES
1. Answer, screen and route incoming telephone calls, and respond to general inquiries.
2. Greet and assist visitors in a professional and courteous manner.
3. Manage visitor sign-in procedures and maintain visitor logs.
4. Receive, sort and distribute mail and maintain postage machine; process courier deliveries/shipments.
5. Order and monitor inventory of all office and kitchen supplies.
6. Ensure reception, common areas and boardroom are tidy, professional and welcoming, at all times.
7. Update and distribute EarthFresh company contact list.
8. Maintain electronic and hard-copy filing systems, ensuring documents are accurate, organized, and easily accessible.
9. Schedule and coordinate company events (banquets, BBQs) and trade shows, as needed.
10. Coordinate meeting room bookings, prepare meeting materials, manage calendars as requested, coordinate catering, etc.
11. Coordinate with office vendors and service providers, including office supply companies, courier services, cleaning contractors, and catering providers.
12. Coordinate maintenance and service requests for office equipment, including printers, copiers, postage machines, and kitchen appliances.
13. Coordinate company travel arrangements (flights, hotels) for Canada and US employees.
14. Reconciling and providing back-up documents for monthly credit card statements.
15. Receive and triage customer service calls.
16. Other administrative and HR-related activities, as required by the Senior Manager, Human Resources.
Hours of Work: Monday to Friday, 8am to 4pm.
