Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess strong clerical and office experience, excellent communication skills, and proficiency with various software tools. Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings and appointments efficiently
- Prepare, proofread, and edit correspondence, reports, and presentations with attention to detail
- Handle incoming calls with professional phone etiquette, managing multi-line phone systems and directing inquiries appropriately
- Perform data entry, filing, and document management tasks using Microsoft Office applications and DocuSign for electronic signatures
- Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions as needed
- Coordinate travel arrangements and prepare itineraries for executives
- Support front desk operations, including greeting visitors and managing office supplies
- Maintain organized records of documents, correspondence, and files in both physical and digital formats
- Provide exceptional customer service to internal teams and external clients or vendors
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks for bookkeeping and financial record keeping
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and accuracy for data entry tasks
- Demonstrated office experience, including clerical and administrative roles
- Knowledge of multi-line phone systems and front desk procedures
- Exceptional proofreading skills to ensure error-free documents
- Ability to manage calendars efficiently using Microsoft Outlook Calendar or similar tools
- Strong communication skills, including professional phone etiquette and customer service experience
- Familiarity with DocuSign or other electronic signature platforms is a plus
- Ability to handle confidential information discreetly and professionally

Pay: $44,493.31-$85,738.66 per year
