We are looking to hire an Office Administrator to support the day-to-day administrative operations of Collective Event Rentals. This role plays a key part in ensuring our office runs efficiently while supporting financial administration, purchasing, inventory, payroll administration, HR administration, and office operations.
We are looking for someone who is highly organized, detail-oriented, proactive, and enjoys creating structure and efficiency. This role requires someone who can manage multiple priorities, communicate effectively, maintain a high level of accuracy, and take ownership of administrative processes.
This is a full-time term position reporting to the CEO, based at 12 South Landing Drive. While this position is initially a term opportunity, there is potential for it to become a permanent full-time role based on future business needs and organizational requirements.

Key Responsibilities
Financial Administration (AR/AP Controls)
- Process accounts payable and accounts receivable.
- Reconcile supplier statements, invoices, purchase orders, and company credit cards.
- Process employee expense reports and maintain accurate financial records.
- Assist with month-end bookkeeping, reconciliations, and financial reporting.
- Maintain strong financial controls and accurate documentation.
Purchasing & Vendor Administration
- Prepare, process, and track purchase orders.
- Maintain vendor records and supplier documentation.
- Coordinate purchasing activities and monitor outstanding orders.
- Communicate with vendors regarding orders, pricing, and deliveries.
- Support inventory purchasing and stock accountability.
Payroll & Attendance Administration
- Prepare payroll information for processing.
- Maintain employee attendance, vacation, and leave records.
- Support payroll administration and reporting.
- Maintain accurate employee records related to payroll and attendance.
Employee Onboarding & HR Administration
- Coordinate employee onboarding and orientation.
- Prepare employment documentation and maintain personnel files.
- Support recruitment and other HR administrative activities.
- Maintain confidential employee records and documentation.
Administrative Operations & Process Compliance
- Provide administrative support to ensure the efficient day-to-day operation of the office.
- Answer incoming phone calls, emails, and general office inquiries.
- Maintain organized filing systems and company records.
- Coordinate office maintenance and equipment repairs.
- Assist with inventory reporting, reconciliations, and annual inventory counts.
- Support leadership with administrative projects and reporting.
- Identify opportunities to improve administrative processes while ensuring compliance with company policies and procedures.
Skills & Qualifications
- High school diploma or equivalent (GED).
- Previous administrative experience is required.
- Previous bookkeeping or accounting administration experience is preferred.
- Experience with accounts payable, accounts receivable, reconciliations, and general bookkeeping is considered a strong asset.
- Experience with purchasing, inventory management, or accounting/ERP software is considered an asset.
- Strong organizational, planning, and time-management skills.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Proficiency with Microsoft Office and standard computer software.
- Ability to work independently while supporting a collaborative team environment.
- Strong problem-solving skills with a proactive approach to office administration.
