We are seeking an outgoing, detail-oriented, efficient person to join our amazing Administrative Team in providing front desk support in our psychology practice. Maintaining confidentiality will be critical to your role. You must represent FVB with compassion and understanding while engaging with our clients, our stakeholders, other staff and clinicians consistently. We are looking for a candidate who is willing to learn and grow with our organization. The role of Administrative Assistant reports directly to the Managing Partner and cooperate with the Business Administrator regularly.
Pay: $24 per hour
Hours: Full time 40 hours per week with some evening shifts
Work location: In person at our Brampton office with capacity to fill in at our Mississauga Office when needed.

In order to succeed in this role: As the face and voice of FVB, you will need to maintain the highest level of empathy, professionalism, and emotional control. You recognize the criticality of confidentiality on all levels – clients/patient health information, clinical staff information, and organizational information. An administrative assistant's duties and responsibilities include providing administrative support to ensure efficient operation of the office; supports managers and employees through a variety of tasks related to organization and communication by following policy and procedure established by the organization. They can complete tasks with accuracy and deliver with high quality and in a timely manner.
Key Responsibilities:
- Greet and assist visitors to the office.
- Answer and direct phone calls, email and face-to-face inquiries.
- Manage client profile, documents, and treatment approvals.
- Organize clinicians’ and clients’ schedules.
- Develop and maintain computer filing systems.
- Communicate with colleagues to organize work.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Maintain confidentiality of all clinical, client, and organizational information to ensure privacy is protected.
- Handle and following up on billing and collecting from clients, WSIB, and third parties.
- Perform opening and closing procedures.
- Cover the reception desk at alternate sites when required.
- Order office supplies and control inventory.
- Able to multi-task and work well in a team setting.
- Ensure the cleanliness of clinic settings.
- Other job duties as assigned.
Required Knowledge, Skills, and Abilities:
- Must have telephone and typing skills.
- Has excellent verbal and written communication skills.
- Excellent interpersonal skills.
- Must be detail-oriented and organized.
- Excellent time management skills and ability to multi-task – be able to think 10 steps ahead and see a bigger picture.
- Must be able to prioritize requests and job duties.
- Ability to work independently and collaboratively.
Qualifications:
- 3-5 years of experience in client care or customer service (preferably in a medically based healthcare environment).
- Proficient in MS Office and Adobe.
- Proficient in electronic medical records database (experience with JANE is preferred).
- High school diploma or equivalent;
- A certificate, diploma or Bachelor’s Degree in Business Administration or related field is preferred.
