We are seeking a professional and organized Front Desk Agent to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience with medical or dental office operations is a plus, but a strong background in clerical and administrative functions is essential. The Front Desk Agent will play a vital role in maintaining smooth office operations and ensuring a positive experience for all visitors.
Responsibilities
- Greet visitors and clients warmly, providing a professional first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Handle appointment scheduling, confirmations, and rescheduling for various departments
- Maintain organized filing systems both digitally and physically
- Assist with billing, bookkeeping, and basic QuickBooks entries as needed
- Support administrative tasks such as proofreading documents, managing correspondence, and maintaining office supplies
- Provide customer support by addressing inquiries promptly and courteously
- Ensure the front desk area remains tidy and welcoming at all times
- Perform clerical duties including faxing, copying, and document management
Requirements
- Proven experience in office administration, clerical work, or front desk operations
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with multi-line phone systems and excellent phone etiquette
- Knowledge of QuickBooks or bookkeeping experience is preferred
- Excellent organizational skills with attention to detail and accuracy in proofreading and data management
- Ability to handle customer service interactions professionally and courteously
- Prior experience in medical or dental office settings is advantageous but not mandatory
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- High school diploma or equivalent required; additional administrative training or certification is a plus
Pay: From $18.25 per hour
