JOB SUMMARY:
The Booking Clerk is responsible for the effective coordination of departmental facility scheduling and related administrative tasks. The position serves as a key point of contact, interacts significantly with a variety of user groups and facility clients and is relied upon to professionally represent the Department while consistently providing a high level of customer service. As required, the role performs the duties of the Receptionist, including serving as the designated First Aid Attendant. The incumbent is expected to work collaboratively with other staff to meet departmental administrative needs and perform related duties as assigned.
The incumbent may be required to work outside of traditional office hours in response to event demands.
REQUIRED QUALIFICATIONS:
Education and Training:
High School (Grade 12). One (1) year of post-secondary coursework or certificate training in business administration, recreation administration or office administration. Intermediate First Aid Certification. A.E.D. training and valid certificate. W.H.M.I.S. certification. Valid Class 5 unrestricted B.C. Driver’s Licence.
Experience: A minimum of one (1) year of related administrative, customer service or recreation experience, including at least six (6) months of experience supporting facility bookings, scheduling, recreation services or similar public-facing administrative work.
Knowledge, Skills and Abilities:
Ability to coordinate bookings, schedules, permits, contracts, deposits and related service requests while maintaining accuracy and follow-through. Working knowledge of records management, cash handling, payment processing and basic financial documentation related to bookings and rentals. Demonstrated skill in using recreation booking software, records management systems, financial systems and standard office applications, including word processing and spreadsheets. Strong organizational and time management skills. Ability to balance multiple priorities, interruptions and deadlines in a high-volume public service environment. Skill in preparing correspondence, forms, reports, invoices, receipts, schedules and routine administrative materials. Considerable attention to detail and the ability to complete accurate records. Excellent interpersonal skills for providing information and service to the public, other departments and co-workers. Ability to work within and contribute to a collaborative team environment. Ability to maintain confidentiality and handle sensitive information with discretion and professionalism. Ability to approach work and relationships in a culturally sensitive and inclusive manner.
PAY RATE:
This is a union position with the current pay rate of $37.03 per hour as outlined in the Canadian Union of Public Employees Local 798 Collective Agreement.
HOURS OF WORK:
8:30 am – 4:30 pm, Monday through Friday, up to 7 hours per day, up to 35 hours per week.
Please note: This position is to provide extra capacity and to cover for absences such as sick and vacation relief. It requires availability for both short-notice and pre-scheduled work.
