Dispatch Coordinator/ Office Administrator

Job Summary
Rapid Freightways Ltd. is looking for a reliable, organized, and detail-oriented Dispatch Coordinator/ Office Administrator to join our transportation team. This position supports daily dispatch operations, maintains transportation documentation, performs accurate data entry, and assists with general office administration to ensure efficient fleet operations.
Experience in the trucking and logistics industry is strongly preferred.
Responsibilities
- Assist with daily dispatch operations and communicate with drivers regarding loads, schedules, and delivery updates.
- Monitor load progress and update dispatch records.
- Perform accurate data entry for loads, trips, driver information, and customer records.
- Prepare, organize, and maintain transportation paperwork, including Bills of Lading (BOLs), Proofs of Delivery (PODs), rate confirmations, and other shipping documents.
- Scan, file, and maintain electronic and physical records.
- Create customer invoices and assist with Accounts Receivable and Accounts Payable.
- Track completed paperwork and ensure all required documents are received from drivers.
- Respond to customer and driver inquiries by phone and email.
- Maintain spreadsheets and reports using Microsoft Excel.
- Assist with general office administration and support management with day-to-day operations.
- Perform other administrative duties as assigned.
Qualifications
- Previous experience in transportation, trucking, logistics, or dispatch is preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Excel, Outlook, and QuickBooks.
- Ability to multitask and work efficiently in a fast-paced environment.
- Experience with transportation management systems (TMS) or dispatch software is considered an asset.
- Knowledge of transportation documents such as BOLs, PODs, and rate confirmations is an asset.
- Ability to work independently and as part of a team.
