Position Summary:
The Intake Coordinator is responsible for daily operations by providing both front-office administrative assistance and intake coordination. This position involves managing client and assessor communication, data entry, and document handling—all while delivering exceptional customer service to various stakeholders.
The Intake Coordinator will report to the Director of Operations. They will work closely and collaboratively with the Intake and Scheduling team, Case Coordinators and CAT department.
Responsibilities
- Respond to and redirect incoming emails, phone calls, faxes, and mail
- Monitor and acknowledge incoming referrals
- Enter new referrals into management information systems
- Assign referrals to medical coordinators and create clients’ files
- Confirm appointment attendance with both clients and assessors
- Prepare and distribute final reports and store corresponding fax confirmations
- Scan and upload documents into digital folders
- Maintain professional communication with all stakeholders (clients, adjusters, legals, assessors)
- Support additional administrative tasks and reporting as required
Experience:
- A minimum of one (1) year of experience in intake
- A minimum of three (3) years of customer/client/patient service experience
- Post-secondary education/university degree in a related field preferred
- Experience working with Universal Software is an asset
Knowledge and Skills:
- Excellent customer service skills
- Demonstrated communication skills, both verbal and written
- Demonstrated ability to work independently and as part of a team
- Ability to communicate clearly and effectively with all stakeholders
- Extensive experience using Microsoft Office and Outlook
- Multi-tasking, time management and problem-solving skills
- Ability to maintain confidentiality
