We are seeking a Receptionist/Administrator who will be the first point of contact for clients, ensuring a welcoming and professional experience. The ideal candidate will be highly organized, proactive, and capable of managing multiple administrative tasks while maintaining confidentiality and attention to detail.
Key Responsibilities:
- Greet clients and visitors in a professional and courteous manner.
- Answer and direct phone calls, emails, and other inquiries to appropriate departments.
- Schedule appointments and maintain office calendars.
- Manage client records and assist with data entry in the company CRM system.
- Provide administrative support to consultants and management as needed.
- Prepare, organize, and maintain office documents and correspondence.
- Monitor and maintain office supplies, ensuring smooth day-to-day operations.
- Assist with scanning, filing, and handling client documentation in accordance with company policies.
- Ensure the reception area is tidy, presentable, and reflective of Aspire Immigration’s professional image.
Qualifications:
- Strong attention to detail and accuracy in a fast-paced environment.
- Excellent organizational and time management skills.
- Proficient computer skills, including Microsoft Office and database management.
- Exceptional written and verbal communication skills.
- Ability to work independently and collaboratively in a team-oriented environment.
- Prior experience in an administrative or reception role preferred.
- Knowledge of immigration laws, policies, and procedures is an asset (training can be provided).
