The Role:
What You Will Do As a Client Care Coordinator, you will manage the heartbeat of our clinic's daily operations. Your role is crucial in ensuring seamless communication between our clinicians and our patients, maintaining an organized schedule, and providing a concierge-level experience.
Key Responsibilities
Create a Welcoming Environment: Greet every patient and visitor with a warm, courteous, and professional demeanor, ensuring they feel comfortable and valued from the moment they arrive. Manage Patient Scheduling: Efficiently book, confirm, and manage appointments for a multidisciplinary team (physiotherapy, chiropractic, massage therapy, etc.) to optimize clinic flow and ensure patients meet their treatment goals.
Handle Communications:
Answer multiple incoming calls, respond to web inquiries, and relay messages promptly and professionally. Address client questions and concerns with empathy and problem-solving skills.
Facilitate Patient Intake:
Guide new patients through the intake process, ensuring all necessary paperwork, medical history, and consent forms are completed accurately before their first treatment.
Financial & Insurance Coordination:
Perform insurance verification, process direct billing, and collect co-payments, co-insurance, and deductibles at each visit.
Maintain Clinic Organization:
Keep the reception area and patient waiting spaces immaculate, cozy, and presentable. Manage office supplies and ensure patient records are securely filed and updated in our EMR (Electronic Medical Records) system.
Support the Clinical Team:
Act as the vital liaison between patients and practitioners, communicating schedule changes and assisting with clinic flow to keep appointments running on time.
What You Bring: Skills & Qualifications

Required Skills & Experience Experience: 1-2+ years of experience in a medical office, healthcare administration, customer service, or hospitality role.
Communication: Exceptional verbal and written communication skills. You can explain clinic policies, insurance details, and scheduling clearly and professionally to a wide variety of people.
Organization & Multitasking: Strong attention to detail with the ability to manage multiple tasks, phone lines, and patient needs simultaneously in a busy clinic environment.
Tech-Savvy: Proficiency with office software, basic billing procedures, and experience with EMR/clinic management software (experience with Jane App is a strong asset).
Interpersonal Skills: A naturally empathetic, patient, and positive attitude. You remain calm under pressure and excel at building trust and rapport with clients who may be in pain or stressed.
Education: High School Diploma or equivalent required; post-secondary education in medical office administration or a related field is preferred.
