Urban Vault Automotive is looking for a reliable, professional, and organized Automotive Service Advisor / Service Administrator to join our team.
This is a customer-facing position with an important role in the day-to-day operation of our automotive repair facility. The successful candidate will work directly with customers, technicians, and parts suppliers to help ensure appointments, repairs, communication, and paperwork are handled efficiently.
The right candidate should have a basic understanding of automotive service and repair, along with good customer-service and administrative skills. We are looking for someone who is willing to continue learning, take initiative, and become familiar with our shop's procedures and systems.
Key Responsibilities
- Welcome customers, answer incoming calls, and provide professional assistance with service-related questions and inquiries.
- Schedule appointments, manage the daily service calendar, and follow up with customers regarding appointments, estimates, and completed repairs.
- Listen to customers’ vehicle concerns, accurately document the information, and create and maintain work orders with complete customer and vehicle details.
- Prepare estimates, invoices, and other service documentation, and clearly explain repair recommendations, pricing, and service information to customers.
- Keep customers updated on the progress of their vehicles, including any changes to recommended work, costs, or estimated completion times.
- Coordinate with technicians to maintain an efficient workflow and communicate with parts suppliers regarding parts availability, pricing, and delivery; source and order parts when required.
- Process customer payments, maintain accurate records, and handle customer concerns professionally while working with the team to find appropriate solutions.
- Maintain a clean and organized reception and office area and assist with general administrative and day-to-day shop duties as required.
Qualifications & Experience
- Minimum 2 years of customer service or front-office experience required, with previous experience in an automotive repair shop, dealership, parts department, or similar environment considered a strong asset.
- Basic knowledge of automotive service and repair is required, along with an interest in continuing to develop automotive knowledge and service-advisor skills.
- Strong verbal and written communication skills, with a professional, customer-focused approach and the ability to communicate effectively with customers, technicians, and parts suppliers.
- Strong organizational and computer skills, with attention to detail and the ability to learn new software and shop-management systems.
- Able to manage multiple priorities in a busy environment, work independently, and contribute positively as part of a team.
- Reliable, punctual, and dependable, with a professional attitude and willingness to learn.
- Must be legally authorized to work in Canada.

Pay: $17.00-$21.00 per hour
Expected hours: 32.0 – 40.0 per week
