Position Summary
We are seeking a highly organized, detail-oriented, and proactive Financial Assistant to support our Chief Financial Officer (CFO) and Finance Department. In this role, you will provide administrative and financial support to ensure the efficient operation of the finance function. The ideal candidate is comfortable working with financial data, maintaining confidential information, coordinating executive activities, and assisting with accounting processes.
Key Responsibilities
Executive & Administrative Support
- Manage the CFO's calendar, meetings, travel arrangements, and daily priorities.
- Coordinate domestic and international travel, including itineraries, accommodations, and meeting materials.
- Proactively manage the CFO's inbox, correspondence, and follow-up on action items.
- Prepare agendas, presentations, reports, spreadsheets, and meeting minutes.
- Organize Finance Leadership Team meetings, executive meetings, and special events.
- Track deadlines, projects, and key deliverables to ensure timely completion.
- Build and maintain professional relationships with internal departments, vendors, auditors, and external stakeholders.
- Maintain confidential financial and business information with the highest level of professionalism.
Financial & Accounting Support
- Process accounts payable and accounts receivable transactions.
- Prepare and reconcile invoices, purchase orders, expense reports, and payment requests.
- Assist with bank reconciliations and monitor daily cash transactions.
- Maintain accurate financial records, filing systems, and supporting documentation.
- Assist with monthly, quarterly, and year-end financial close activities.
- Prepare journal entries and assist with account reconciliations.
- Support budget preparation, forecasting, and variance analysis.
- Generate financial reports and management reports using Excel and accounting software.
- Monitor outstanding receivables and follow up on overdue accounts.
- Assist in processing employee expense reimbursements and corporate credit card reconciliations.
- Support payroll administration by collecting and verifying payroll-related information when required.
- Assist with inventory reconciliations and cost tracking.
- Ensure compliance with company policies, accounting standards, and regulatory requirements.
- Coordinate with external auditors during audits by preparing supporting documentation.
- Maintain vendor records and assist with vendor account reconciliations.
- Assist in improving finance processes and implementing efficiencies.
- Support special financial projects and cross-functional initiatives as assigned.
Qualifications & Skills
- Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- 2-3 years of experience in accounting, finance, or financial administration.
- Knowledge of accounting principles and bookkeeping practices.
- Experience with accounts payable, accounts receivable, bank reconciliations, and general accounting functions.
- Proficiency in Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.
- Experience using accounting software or ERP systems is considered an asset.
- Excellent organizational, time management, and multitasking skills.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
- High level of accuracy and attention to detail.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Professional, dependable, and able to handle confidential information with discretion.
- Strong interpersonal skills with the ability to collaborate effectively across departments.
- Fluency in English (written and spoken).
Preferred Qualifications
- Experience in a manufacturing, pharmaceutical, or nutraceutical environment is an asset.
- Knowledge of payroll processing and GST/PST reporting is an asset.
- Working towards or holding an accounting designation (CPA, CPA Prep, or equivalent) is considered an asset.
Pay: $22.00-$25.00 per hour
