Role Overview
This role combines administrative support with essential bookkeeping responsibilities, ensuring smooth office operations and accurate financial management. The ideal candidate is a strong communicator, highly organized, and possesses a background in office management and basic accounting. You will be a first point of contact for members, manage financial records, and support daily office functions to help our club run efficiently and effectively. This position reports directly to the Executive Director.
Candidates with strong background in administration or bookkeeping who are interested in a singularly focused role are encouraged to apply.
Key Responsibilities
- Serve as a first point of contact and communication for members, managing phone and email systems with professionalism and courtesy
- Handle all clerical duties including filing, data entry, mailing and maintaining organized records
- Perform bookkeeping duties to ensure accurate Accounts Receivable (including issuing receipts), Accounts Payable (including issuing invoices) and reconcile bank accounts
- Process payroll
- Complete monthly and quarterly budget statements, income statements and balance sheets, journal entries
- Assisting with budget forecasting and reporting to the Finance Committee
- Assist in the completion of an annual audit or financial review
- Maintain club supplies inventory and procure supplies as needed
- Assist with club administrative tasks including travel arrangements, meeting arrangements, calendar management
- Monitor online registration and online merchandise purchases through our Uplifter platform
- Follow club policies and enforce procedures for registration, financial expectations and maintain accurate member account records
- Attend weekly staff meetings
- Assist with club marketing and promotions including a monthly member newsletter
Qualifications
- Proven office experience with a strong background in administrative support
- Experience using Simply Accounting or QuickBooks for bookkeeping and financial recordkeeping (3-5 years required)
- Familiarity with technological systems or ability to learn quickly: Microsoft Office (Word, Excel, Outlook, Teams, OneNote, Sharepoint)
- Previous experience working in customer service or as a receptionist
- Strong communication and organizational skills are a necessity
- Ability to manage time effectively
- Strong English language communication skills are required
Screening
- Being a youth sports organization and the level of risk of this position, a clear Criminal Record Check with Vulnerable Sector is required
- Online Respect in Sport training and Safe Sport training will be required upon hiring if not already completed
- A 3-month probational period will be required before extended benefits are offered
