ABOUT THE ROLE
The HR Coordinator is responsible for administrative; talent, training and systems, and programs support in addition to advising employees on general employee inquiries across all business units. This position reports to the Director, Human Resources Advisory Services and Operations.
The knowledge of English is required for this position as the position requires to interact on a constant and regular basis with English-speaking stakeholders outside of Quebec
WHAT YOU’LL DO / KEY RESPONSIBILITIES
HR Support
- Draft letters relating to employment verification, contract extensions, benefit changes, compensation changes and other letters as required
- Enter, update, and maintain accurate employee details in HCM, ensure proper documentation is obtained
- Assist with payroll, management and maintained of employee files (SharePoint & Physical)
- Process and Manage IT ticket process
- Manage HR inbox and mail
- Maintain contractor database and management of on/off boarding
- Process invoices and maintain budget tracking and support forecasting
- Complete HR projects, as assigned
- Provide administrative and project support to HRD and HR team members, including meeting and event planning and draft and distributed internal communications
- Coordinate French translations
Talent
- Assist with full recruitment cycle including postings, developing interview questions, resume screens, assessments
- Prepare job offers, process background checks and complete onboarding paperwork, HCM workflow approvals, creation of personnel files prior to first payroll
- Educate hiring managers on the recruitment process
- Support internship program initiatives
- Assist with maintaining partnerships with agencies, employment services, local colleges and universities
- Maintain accurate applicant tracking in HCM Training
- Support HR orientations, coordinate onboarding and schedules
- Assist with coordination and tracking of HR trainings, and manage platform access
- Administer Education Assistance Program and track requests and participation
Health & Safety
- Assist with health and Safety committee tasks, projects and initiatives
Policy Governance
- Project managed and participate in annual policy governance review
- Maintain policy library, both achieve and achieved policies
Payroll / Benefits / Data Reporting
- Generate and distribute HR dashboard and various HR reports, as needed
- Compile data and conduct research, as required
- Enter, update, and maintain accurate employee details in HCM
- Support benefits administration and renewal process
- Coordinate wellness programing and communications
- Manage and maintain Pension Governance Document Library (PGDL) and documentation in partnership with OA team.
- Maintain job evaluations tracking and job descriptions library
- Assist with data entering, processing payroll, administration of recognition rewards, and maintenance of employee files and records
WHAT YOU WILL BRING / QUALIFICATIONS & EXPERIENCE
- Bachelor's Degree in Human Resources or Industrial Relations, or related subject
- Member of HRPA and Payroll Association, an asset
- Experienced in HCM systems or DayForce, an asset
- Experienced in Microsoft Office – (Word, PowerPoint, Excel)
- Fluent in French, an asset
