The Development team is responsible for both the fundraising and marketing functions of House of Friendship, to grow financial support to sustain the mission into the future, and to build brand awareness and affinity for the organization across the Region. As a key member of the Development team, the Development Operations Coordinator provides operational support to fundraising activities, with a primary focus on gift processing, receipting, donor record maintenance, stewardship administration, and fundraising operations. The Development Operations Coordinator ensures charitable gifts are processed accurately and efficiently while maintaining high standards of donor service, confidentiality, and data integrity. The position works closely with Development and Finance staff to support day-to-day fundraising operations and donor stewardship activities.
This is a nine (9) month contract position. This is a full-time position offering 37.5 hours per week. Schedule is generally Monday to Friday, from 8:30am to 4:30pm, in-office.
Key Responsibilities:
Process donations received through cash, cheque, credit card, online giving platforms, e-transfers, securities, workplace campaigns, and other giving channels
Ensure timely and accurate gift entry, coding, designation, receipting, and acknowledgement processing in accordance with CRA guidelines and organizational standards
Monitor and process gifts received through third-party platforms such as CanadaHelps, Benevity, My Tribute, and other online giving portals
Coordinate pledge tracking and fulfillment activities
Support annual consolidated receipting and year-end donation processing activities
Maintain accurate records of donation adjustments, corrections, and related documentation and coordinate with Finance dept to support ongoing donation reconciliation
Confidentially update and maintain donor contact information, communication preferences, and other records as required
Perform regular database cleanup, record updates, and quality assurance activities
Assist with data imports, exports, list generation, and routine database maintenance activities
Support the maintenance of database procedures, standards, and documentation
Ensure compliance with donor privacy requirements, PIPEDA, CASL, and organizational policies
Respond to donor inquiries regarding donations, receipts, donor records, and communication preferences with exceptional service by phone, email, and in-person
Support stewardship initiatives and donor engagement activities as assigned
Generate routine fundraising reports and donor lists as requested
Support fundraising analysis and reporting activities
Assist with event registration administration and attendee data management
Support bulk mailings, mail merges, and donor communications projects
Job Specific Knowledge/Skills:
Proficiency in Raiser’s Edge NXT or related database system(s)
Proficiency in Microsoft Excel
Proven capacity to input, interpret and organize donations of all types, with speed and impeccable accuracy
Strong verbal and written communication skills, with a proven ability to build productive and collegial relationships with colleagues, and donors, demonstrating excellent interpersonal and team collaboration skills
Self-directed, and willing to engage team members for support, with ability to manage multiple priorities and timelines without sacrificing accuracy
Excellent ability to maintain confidentiality, security and accuracy of constituents at all times
Knowledge of the fundraising industry and Canada Revenue Agency regulations for charities is an asset
Education/Experience:
Minimum of a 1-year diploma in accounting or bookkeeping, finance, or similar financial data focus is required
At minimum two years of experience in a highly data-driven and team-based role, including extensive database use and demonstrated competence is preferred
Solid understanding of basic accounting principles and essential math skills required
Critical Skills:
Commitment to understand and uphold the mission and values of House of Friendship is expected
Exemplary emotional intelligence, resilience, communication, conflict management and problem solving skills required
Ability to work professionally as a team member with staff, participants and community members
Experience or strong interest in working with diverse populations including people from various cultural backgrounds, income levels, and sensitivity to their needs
Experience with and commitment to using an anti-racism, anti-oppressive and trauma informed approach to consultation, program design, evaluations of processes and service delivery
Must be dependable, professional, flexible, a team player, and have a positive attitude
Respectful, supportive and engaging approach to persons with physical and/or cognitive disabilities, addictions, mental illness and other life challenges
Excellent project, timeline and deadline management skills including skills in logistics, planning and detailed record keeping

Rate of Pay:
At House of Friendship all compensation ranges are categorized under a series of “grades” and we base our payment structure on internal equity. When determining rate of pay, a candidate’s past related experience will be taken into consideration.
Grade: 4
Min: $23.43
Mid: $26.45
Max: $29.48
Working Conditions:
Monday to Friday, 37.5 hours per week, in-office; remote work is not available
Occasional evening and weekend work to support House of Friendship or community events
Vacation may not be taken during core donation months of November, December, January and April
Encountering participants at program sites who may be under the influence of drugs or alcohol, and/or experiencing symptoms of mental illness can be expected
