Job Summary
Solara Hot Tubs & Patio, a 43 year old locally-owned business, is seeking a proactive and detail-oriented Parts/Warranty Coordinator to join our dynamic team. In this vital role, you will manage parts inventory, process warranty claims, and coordinate procurement activities to ensure seamless operations across our dealership. Your expertise will help optimize supply chain efficiency, enhance customer satisfaction, and support the overall success of our service and parts departments. This position coordinates the ordering, receiving, tracking, organization and distribution of our Hot Tub and Swim Spa parts while also managing warranty claims with our Manufacturers and Suppliers.
Responsibilities
- Order parts required for service calls, repairs, warranty work and customer requests
- Process warranty claims efficiently, ensuring all documentation is complete and compliant with manufacturer guidelines.
- Identify and source the correct replacement parts using Manufacturer information, diagrams, serial numbers and technician feedback
- Assist customers with parts inquiries, providing exceptional customer service both in person and via phone or email.
- Conduct data entry for purchase orders, inventory adjustments, and warranty claims to maintain precise records.
- Receive incoming parts and verify shipments for accuracy
- Label, organize and store parts so they can be easily located and assigned to service jobs
- Strong data entry skills with high attention to detail for accurate record keeping.
- Excellent customer service skills with a professional, friendly approach to client interactions.
- Maintain accurate parts inventory and assist with regular inventory counts
- Communicate parts availability and expected arrival dates to Service Coordinator
