Administrative Assistant Position
Noble Pannu Wealth Management is one of Kelowna's most respected financial planning and wealth management firms. We are currently seeking an Administrative Assistant to provide outstanding organizational and administrative support to our Financial Advisory Team at our Kelowna office.
This is an excellent opportunity for a highly personable, dynamic, and self-reliant individual to gain first-class experience in the financial planning industry. You will work closely with our Client Services Associates and Financial Advisors in a busy, fast-paced practice, supporting case preparation, portfolio administration, and client service. This is not a “pushing paper” role: you must love working with people, be dedicated to ‘wowing’ clients, and be ready to adapt as our practice continues to grow.
MAIN FUNCTIONS & RESPONSIBILITIES
- Case preparation support to Financial Advisors (research, financial plans, investment policy statements, insurance quotes, etc.)
- New business processing, including forms and trade orders
- Client meeting support to Financial Advisors, including preparation of materials and follow-up
- Administrative duties for Financial Advisors: daily trades, data entry, photocopying/scanning
- Client service via phone, e-mail, and in person
PERIODIC SUPPORT FUNCTIONS & RESPONSIBILITIES
- Greet and assist clients as they arrive; answer and direct incoming calls
- Notify advisors of client arrivals and maintain/update the CRM system
- Book client meetings and assist with set-up/clean-up of meeting areas, including catering
- Accept deliveries and manage courier drop-offs/pick-ups
- Keep the reception area tidy and presentable
- Help develop and strengthen client relationships through referrals, centres of influence, and networking
- Other duties as may be required
MINIMUM QUALIFICATION REQUIREMENTS
- 1–2 years of experience in an administrative or reception role in a professional office environment (financial services experience is an asset but not mandatory — we are willing to train the right person)
- Excellent typing and computer skills, including MS Office and Outlook; experience with financial planning software or Salesforce is an asset
- Excellent interpersonal, verbal, and written communication skills, with a professional appearance and manner
- Strong organizational skills and attention to detail
- Proven ability to prioritize and multi-task to meet deadlines in a fast-paced environment
- Ability to work independently as well as part of a close-knit team
- A proactive approach to handling issues as they arise
- Strong desire to provide high-quality client service and long-term commitment to the role

There is a competitive compensation and benefits package available, with a salary range of $50,000–$60,000 per year depending on experience, along with opportunities for advancement within a growing wealth management practice.
