About the Role:
The Project Coordinator will provide administrative and operational coordination throughout the project lifecycle, working closely with Project Managers, Foremen, Installation Technicians, customers, suppliers and internal departments to support the timely and successful completion of quality projects while maximizing efficiency, controlling costs and maintaining strong customer relationships..

What You’ll Do:
Project Administration and Documentation
- Maintain accurate and up-to-date project documentation throughout the project lifecycle.
- Coordinate project correspondence, records, RFIs, schedules and other required documentation.
- Manage project closeout documentation, including compilation of Operations and Maintenance Manuals.
- Ensure documentation is complete and submitted within required timelines.
Project Coordination
- Coordinate with Project Managers, Foremen and Installation Technicians to support project schedules and completion requirements.
- Assist with technician scheduling and coordination of project activities.
- Monitor project requirements, deadlines and outstanding items and communicate updates to appropriate stakeholders.
- Assist Project Managers and Estimators with project administration, pre-quote preparation and other project-related activities.
Procurement and Materials
- Source and order project supplies, materials and equipment as required.
- Coordinate with suppliers and vendors to confirm availability, pricing and delivery requirements.
- Track material requirements and communicate potential delays or issues.
RFIs
- Prepare, issue, track and follow up on Requests for Information (RFIs).
- Maintain accurate RFI records and communicate responses to appropriate project stakeholders.
Customer Service
- Act as a point of contact for assigned customers, responding to requests and questions in a timely and professional manner.
- Coordinate with internal departments to resolve customer issues and support successful project completion.
- Maintain positive working relationships with customers, suppliers and internal stakeholders.
- Other duties as assigned by the Manager
What You Bring:
- 2+ years of experience in project coordination, project administration, construction administration, or a related role.
- Experience working in a construction, mechanical, HVAC or similar technical environment is an asset.
- Strong organizational and time-management skills, with the ability to manage multiple projects and competing priorities.
- Strong attention to detail and accuracy in documentation.
- Ability to interpret project documentation, drawings, specifications and/or scopes of work is an asset.
- Experience coordinating materials, suppliers and deliveries is an asset.
- Experience with RFIs and project closeout documentation is an asset.
- Strong written and verbal communication skills in English, sufficient to communicate effectively with customers, employees, suppliers and other stakeholders.
- Proficiency with Microsoft Office, Outlook, Adobe Acrobat and other standard business software.
- Ability to work independently while collaborating effectively with Project Managers, Foremen, technicians, customers and suppliers.
Working Conditions
- Typical office atmosphere and environment. Maintain discipline around proper office etiquette as well as dress code.
- Very occasional travel to job sites might be required, therefore may be subjected to extreme heat or cold environments.
- Proper Personal Protective Equipment (PPE) is required when attending sites
- Fast-paced and customer-focused environment
Physical Requirements
- Often requires sitting and using hands and fingers to handle or feel and manipulate keys on a keyboard.
- Must be able to lift 25 pounds.
- Occasionally requires standing, walking, reaching with arms and hands, climbing or balancing, stooping, kneeling or crouching.
- Requires close vision.

Pay: $55,000.00-$75,000.00 per year
