Overview
Kirkyz Acoustix is an independently owned hearing clinic in Calgary. We're not a corporate chain — we're a husband-and-wife practitioner team who built this clinic to feel personal, warm, and genuinely invested in every client who walks through the door. The person at our front desk sets that tone before a client ever sees the clinician, which is why this role matters so much to us.. The ideal candidate will possess strong clerical skills, proficiency in office software, and excellent communication abilities to support our team and clients effectively.
Duties
- Greet visitors and clients in a friendly and professional manner at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately
- Perform data entry and maintain accurate records using Microsoft Office, Blueprint Solutions and Excel
- Handle appointment scheduling, confirmations, and cancellations
- Manage filing systems, both electronic and physical, ensuring documents are organized and accessible
- Assist with bookkeeping tasks such as invoicing and basic financial record keeping
- Support administrative functions including proofreading documents, preparing correspondence, and managing mail
- Provide customer support via phone and in person, demonstrating excellent phone etiquette and organizational skills
- Maintain a clean and professional reception area to create a welcoming environment for visitors
- For HAP students: additional supervised clinical exposure and mentorship time built into your schedule
Experience
- Prior office experience or administrative background preferred
- Familiarity with Microsoft Office Suite and data entry procedures
- Experience in customer service or front desk roles is highly desirable
- Knowledge of medical or dental office procedures is a plus but not required
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent typing speed with attention to detail for proofreading and document accuracy
- Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
- Previous clerical or administrative experience that showcases strong organizational skills and customer support abilities
- High school diploma required
- Comfortable learning new scheduling/practice management software
- Strong, warm communication skills — comfortable speaking with clients who may have hearing loss
- Reliable, organized, and able to work independently at the front desk
- HAP applicants: current enrollment in a recognized Hearing Aid Practitioner program
Pay: $19.00-$22.00 per hour
