Position Overview
Evertrust Development Group is seeking a reliable, professional, and highly organized Driver & Executive Assistant to provide transportation, document delivery, administrative, and day-to-day operational support to company management.
The successful candidate will be responsible for delivering and collecting company documents, transporting management or company representatives when required, coordinating appointments and travel arrangements, and providing general administrative and operational assistance.
This position does not have a fixed work location. The employee will work primarily between Markham and Welland, with travel to other offices, project sites, banks, legal offices, government offices, and other business locations as required.
The successful candidate must have access to a reliable personal vehicle for work-related travel. Reasonable work-related fuel and parking expenses will be reimbursed in accordance with company policies and approval procedures.
Key Responsibilities
Driving and Document Delivery
- Safely transport company management, employees, clients, or business partners to meetings, offices, project sites, and other business locations as required.
- Deliver and collect confidential documents, contracts, cheques, keys, packages, supplies, and other company materials.
- Travel regularly between Markham, Welland, the Greater Toronto Area, and other locations in Ontario as required.
- Plan efficient routes and ensure timely arrival for appointments, meetings, and deliveries.
- Maintain accurate records of trips, deliveries, fuel expenses, parking expenses, and other approved work-related travel costs.
- Ensure that the personal vehicle used for company business is properly licensed, insured, maintained, and in safe operating condition.
- Immediately report any accidents, delays, lost documents, vehicle issues, or other concerns that may affect assigned duties.
Executive and Administrative Support
- Assist management with scheduling appointments, meetings, site visits, and travel arrangements.
- Coordinate communications and follow up with employees, contractors, clients, legal representatives, consultants, and other external parties.
- Prepare, organize, print, scan, copy, file, and deliver documents as required.
- Assist with obtaining signatures and ensuring that completed documents are delivered to the appropriate individuals or organizations.
- Assist with banking deposits, document submissions, office errands, purchasing supplies, and other operational tasks.
- Maintain organized records relating to deliveries, appointments, expenses, and assigned tasks.
- Provide updates to management regarding completed assignments, delays, and outstanding matters.
- Handle confidential company, employee, client, legal, and financial information with professionalism and discretion.
- Provide general administrative and executive assistance to management as reasonably required.
- Perform other related duties assigned by management.
Qualifications and Requirements
- Valid Ontario G driver’s licence in good standing.
- Clean or satisfactory driving record.
- Access to a reliable personal vehicle suitable for regular business travel.
- Valid automobile insurance that permits the vehicle to be used for work-related purposes.
- Previous experience as a professional driver, executive assistant, administrative assistant, personal assistant, courier, or in a similar position is preferred.
- Strong organizational, time-management, and problem-solving skills.
- Professional, responsible, punctual, discreet, and trustworthy.
- Ability to handle confidential and sensitive information appropriately.
- Strong communication and interpersonal skills.
- Ability to work independently and manage changing priorities.
- Comfortable driving for extended periods and travelling between cities.
- Proficiency in Microsoft Office, email, calendar management, and basic document preparation.
- Ability to communicate effectively in English.
- Mandarin and/or Cantonese language skills are considered an asset.
- Must be legally entitled to work in Canada.
Working Conditions
- Full-time position with no fixed work location.
- Work will primarily take place in Markham and Welland, with travel to other business locations as required.
- Regular local and regional driving is an essential part of the position.
- The employee is required to use their own vehicle for work-related travel.
- Reasonable and approved work-related fuel and parking expenses will be reimbursed in accordance with company policies.
- Working hours may vary depending on management schedules, meetings, traffic conditions, deliveries, and urgent business requirements.
- Occasional evening or weekend availability may be required, subject to operational needs.
- The position may involve lifting and carrying documents, packages, office supplies, and other light materials.
Compensation
- The annual salary range for this position is CAD $50,000 to $75,000, depending on the successful candidate’s relevant experience, driving record, administrative capabilities, and overall qualifications.
- Reasonable work-related fuel and parking expenses will be reimbursed separately, subject to company approval and the submission of supporting receipts or records.
