About the role
This is not just a front desk position.
As a Clinic Administrator, you are a central part of the client experience and the daily flow of the clinic. You help create a calm, organized, and welcoming environment while keeping schedules, communication, and operations running smoothly.
You’ll work closely with another experienced admin team member in a shared role.

Who this role is not for
- Someone who prefers highly repetitive or strictly structured work
- Someone who needs constant direction or step-by-step instruction
What you’ll be responsible for
- Creating a welcoming and positive experience for clients and families
- Managing schedules for multiple clinicians in Jane
- Answering phones and emails in a timely and professional manner
- Processing payments and third-party billing
- Preparing and managing funding contracts
- Collaborating with clinicians and the admin team
- Supporting smooth day-to-day clinic operations
- Assisting with light housekeeping to maintain a professional environment
What we’re looking for
- Strong organizational and time management skills
- Excellent communication (written and verbal)
- Confidence working both independently and as part of a team
- Strong problem-solving skills and attention to detail
- Experience in customer service, reception, or administration
- Comfortable using computers and learning new systems
- Experience with Jane software is an asset
Schedule & details
- 3–4 days per week (typically Monday-Wednesday or Thursday)
- Clinic hours fall between 9:00 AM – 6:00 PM
- This is a permanent position

A day in the life of a clinic admin at Abilities
No two days are exactly the same, but here’s what a typical day might look like:
You start your morning by opening the clinic and getting everything ready for the day. You check the schedule, review any updates or changes, and respond to emails and voicemails that came in overnight.
As clients begin to arrive, you greet them, help them get settled, and make sure the clinicians’ schedules are running smoothly. Throughout the day, you’re answering phones, booking appointments, processing payments, and helping clients navigate funding or insurance questions.
Between client interactions, you’re coordinating with clinicians and your fellow admin team member—adjusting schedules, problem-solving last-minute changes, and making sure everyone has what they need.
There are moments where things get busy—phones ringing, clients arriving, schedules shifting—but you’re someone who can stay calm, organized, and focused.
Throughout the day, you’re also keeping the clinic environment welcoming and professional, jumping in on small tasks that help everything run smoothly.
Before the day wraps up, you ensure the next day is set up for success—confirming appointments, tying up loose ends, and leaving things organized for the team.
