Job Summary
Vancouver based Criminal Defence Law Firm seeking a detail-oriented and organized Legal Administrative Assistant to support our legal team. The ideal candidate will handle a variety of clerical and administrative tasks, ensuring smooth office operations, and supporting counsel. This role requires excellent communication skills, proficiency with office software (training provided), the ability to manage multiple responsibilities efficiently (multi-tasking), and patience. Prior experience in legal, administrative, or office settings is a plus along with strong organizational and customer service skills - but not a requirement.
Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professional phone etiquette.
- Responding to client inquiries and emails.
- Perform data entry, filing, and document management to ensure accurate record-keeping for the law firm.
- Assist with scheduling appointments and maintaining calendars for lawyers and clients.
- Following up with clients.
- Prepare legal documents, correspondence, and proofreading materials for accuracy and clarity.
- Utilizing Microsoft Office, Outlook Calendar, QuickBooks , and Clio for various administrative tasks
- Support bookkeeping activities related to client billing and expense tracking
- Provide exceptional customer support to clients and visitors, ensuring a positive experience
- Maintain confidentiality of sensitive information in compliance with legal standards, a NDA agreement will be required.
- Handle clerical duties such as photocopying, scanning, and organizing files efficiently
- Emailing clients retainer agreements, and invoices, and collecting payments.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications preferred and training provided.
- Strong typing speed with excellent proofreading abilities
- Experience with data entry, filing systems, and document management (training provided)
- Knowledge of QuickBooks or similar bookkeeping software is preferred but not required (training provided).
- Previous office experience in legal or medical environments is highly desirable but not required.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong customer service skills with professional phone etiquette is a requirement.
- Familiarity with multi-line phone systems and front desk operations
- Basic computer skills including familiarity with office equipment and software applications
- Ability to adapt quickly to new tasks and maintain attention to detail under pressure.
- Ability to learn and think on the spot.
