Job Overview
The Project Associate provides administrative and operational support to the Project Management team to ensure the smooth execution of projects. Working closely with Project Coordinators and cross-functional departments, the Project Associate assists with project documentation, production timelines, data management, vendor communication, and administrative tasks while helping to ensure projects are completed efficiently and on schedule.
Key Responsibilities
- Support Project Coordinators and Account Coordinators with day-to-day project activities and administrative tasks.
- Collaborate with internal departments to facilitate client requests and project requirements.
- Assist in coordinating project timelines and monitor task progress to help ensure deadlines are met.
- Maintain project documentation, including pricing estimates, purchase orders, invoices, vendor/supplier information, and production records.
- Assist with organizing and distributing product samples for launches and customer requests.
- Compile, organize, and maintain inventory, logistics, and project-related records.
- Enter and maintain accurate data within internal systems, CRM, and project tracking software.
- Assist with collecting and analyzing project, inventory, and market data to support business decisions.
- Support market research activities by gathering information on competitors, products, and industry trends.
- Prepare reports, spreadsheets, meeting agendas, meeting notes, and other project documentation.
- Assist in preparing client presentations, project presentations, proposals, and other presentation materials to support internal meetings and customer engagements.
- Coordinate the flow of project-related information between internal teams and external stakeholders.
- Respond to client, supplier, and internal inquiries, escalating issues to the Project Coordinator when required.
- Support quality assurance documentation and report discrepancies or concerns to the Project Coordinator.
- Assist with administrative duties including data entry, invoicing, filing, proofreading, applications, and forms.
- Maintain accurate records of incoming and outgoing inventory, logistics activities, and account notes.
- Participate in project meetings and provide updates on assigned tasks.
- Maintain knowledge of company products, services, and internal processes.
- Travel up to 20% as required to support market research and project-related activities.
Qualifications
- Diploma or bachelor’s degree in business administration, Project Management, Supply Chain, Food Science, or a related field.
- 1–2 years of experience in project support, project administration, operations, customer service, or a similar role.
- Experience in the food industry, manufacturing, distribution, or a B2B environment is considered an asset.
- Familiarity with supply chain, logistics, or vendor coordination is an asset.
- Strong organizational skills with excellent attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Pay: $45,000.00-$50,000.00 per year
