We are seeking a Scheduling Clerk to support staffing operations at our South Bay Road Site of St. Joseph’s Continuing Care Centre. In this pivotal role, you will be responsible for coordinating staff schedules, managing time-off requests, supporting payroll verification processes, and ensuring optimal staffing levels across departments in accordance with collective agreements and organizational policies.
This position plays a critical role in maintaining continuity of care by ensuring the right people are in the right place at the right time.
Key Responsibilities
- Develop, maintain, and update staff schedules across multiple departments in alignment with operational needs and collective agreements
- Process and track vacation, statutory holidays, and personal leave requests
- Coordinate staffing replacements for absences including sick time, leaves, and shift changes
- Manage internal job postings and maintain scheduling systems for open positions
- Perform payroll verification activities in collaboration with Payroll
- Respond to scheduling and payroll-related inquiries in a timely and professional manner
- Maintain accurate call-in lists and support staffing coverage requirements
- Coordinate agency staffing including scheduling, onboarding, and invoice processing
- Generate reports, schedules, and statistical data to support operational decision-making
- Maintain strict confidentiality when handling employee information
- Ensure proper record retention and document management practices
Qualifications
- Post-secondary diploma in Office Administration, Administrative Assistant, or a related field
- Demonstrated experience in staff scheduling, preferably within a healthcare or unionized environment
- Knowledge of collective agreements and scheduling practices is an asset
- Experience with scheduling software (e.g., Quadrant) is considered an asset
- Advanced proficiency in Microsoft Office, particularly Excel and Word
- Exceptional organizational skills with a high degree of accuracy and attention to detail
- Strong interpersonal and communication skills with the ability to collaborate across disciplines
- Proven ability to manage competing priorities in a fast-paced, high-demand environment
Pay: $49,289.85-$61,612.32 per year
