We are seeking a highly organized and detail-oriented HR & Payroll Administrator to support our daily HR operations and ensure continuity of payroll processing during the Payroll Administrator’s absences. This full-time, in-person role plays a vital part in maintaining a smooth and responsive HR function while also being responsible for managing end-to-end bi-weekly payroll processing via QuickBooks when required. The ideal candidate will thrive in a fast-paced environment and bring a proactive approach to both employee support and administrative coordination.
Key Responsibilities:
HR Administration
- Act as the first point of contact for employee HR-related inquiries.
- Manage day-to-day HR operations & coordinating across internal departments.
- Support end-to-end onboarding and offboarding processes, including orientation, paperwork, and system updates.
- Maintain and update employee information in the HRIS system, ensuring accuracy and confidentiality.
- Coordinate recruitment activities, including posting jobs, scheduling interviews, managing communications, and preparing offer letters.
- Build and maintain strong working relationships with internal teams and external clients.
- Collaborate with other administrative staff to ensure seamless operational support and communication.
- Assist in benefits administration and respond to related employee inquiries.
- Support compliance with HR policies, assist in audits, and contribute to reporting and documentation.
Payroll Administration (as part of role responsibilities)
- Manage full-cycle bi-weekly payroll processing via QuickBooks during the - Payroll Administrator’s scheduled absences (e.g., vacation or time off).
- Collect and verify employee time records, leaves, and applicable payroll inputs.
Ensure timely and accurate payroll submissions and resolve any related employee inquiries.
Maintain strict confidentiality and adherence to applicable payroll and labor regulations.
Coordinate with the finance team as needed to support payroll reconciliation and year-end reporting.
Requirements:
Minimum 2 years of experience in HR administration with some exposure to payroll functions.
Experience with QuickBooks payroll is required.
Strong understanding of employment standards and payroll compliance.
Excellent communication, coordination, and interpersonal skills.
High attention to detail and the ability to manage multiple priorities.
Proficient in MS Office (Excel, Word, Outlook).
Preferred Qualifications:
Diploma or degree in Human Resources, Business Administration, or a related field.
Payroll certification (e.g, PCP) is an asset.
Experience in a dynamic, multi-functional administrative or HR environment.
Pay: $20.00 per hour
Expected hours: 35.0 – 40.0 per week
