Position Summary
The Executive Assistant provides comprehensive, high-level administrative support to the Senior Vice President, and the leadership team. The Executive Assistant will be responsible for managing the SVP's calendar, coordinating communications, monitoring and responding to designated emails, and supporting leadership by gathering information and facilitating timely follow-up on key initiatives.
Acting as a trusted partner to the SVP, the successful candidate will help streamline communication, improve efficiency, and ensure priorities are effectively managed across the organization.
Key Responsibilities and Accountability
Strategic Executive Support
- Meeting Coordination: Schedule and organize meetings for the executive team, including arranging logistics, preparing meeting materials, and managing calendars. Communicate meeting details to participants and ensure all necessary resources are available.
- Act as a gatekeeper for the executive's time, ensuring requests and commitments align with business objectives and priorities.
- Coordinate meeting logistics, agendas, briefing materials, and follow-up actions.
- Track deliverables, deadlines, and key initiatives, ensuring timely follow-up and accountability across departments.
- Serve as a trusted liaison between the executive, leadership team, clients, and other stakeholders.
- Support operational coordination by gathering information, facilitating communication, and helping leadership obtain timely responses and updates.
- Handle confidential and sensitive information with the highest level of discretion, professionalism, and sound judgment.
- Project Coordination: Assist in coordinating and executing special projects and initiatives as assigned by the executive team. Track project progress, manage deadlines, and communicate updates to relevant stakeholders.
- Special Projects: Take on additional assignments and ad-hoc projects as assigned by the executive team, demonstrating flexibility and adaptability.
Corporate Communication
- Draft, proofread, and manage highly confidential correspondence, including emails, executive briefs, reports, presentations, and board meeting materials.
- Prepare professional communications on behalf of the executive, ensuring accuracy, consistency, and alignment with organizational messaging.
- Liaise with internal and external stakeholders to facilitate effective communication and timely follow-up.
- Support the preparation of presentations, meeting agendas, reports, and other executive-level documentation.
- Assist with HR-related coordination and organizational initiatives where needed
Travel & Expense Management
- Coordinate detailed domestic and international travel arrangements, including transportation, accommodations, itineraries, and event logistics.
- Anticipate travel-related needs and develop contingency plans to ensure seamless execution.
- Manage and reconcile executive expenses, including monthly expense reporting and submission.
- Coordinate registrations, reservations, and logistical requirements for conferences, meetings, and special events.
Qualifications
- 3+ years of experience supporting C-suite executives, ideally within hospitality, Resort, or Construction
- A business degree, office administration diploma, or equivalent corporate experience.
- Previous experience in Human Resources is considered an asset.
- Advanced proficiency in Microsoft Office 365 (especially Excel and PowerPoint) and virtual collaboration tools
- Strong problem-solving skills and ability to anticipate needs and proactively address challenges.
- Exceptional interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.

Pay: $25.00-$28.00 per hour
