Rubinstein Financial is seeking a motivated, detail-oriented Administrative Assistant to become an integral part of our team. We are looking for someone who enjoys working independently, takes initiative, and is passionate about delivering exceptional client service.
This is more than an administrative position—we're looking for someone who will help enhance our office, improve efficiencies, and contribute to the continued growth of our business.
The position begins at 20 hours per week, with the opportunity for additional hours as the practice continues to grow.
What You'll Do
- Manage and organize confidential client files and documentation
- Prepare meeting summaries, client correspondence, and follow-up emails
- Maintain accurate client records within our CRM system
- Schedule, confirm, and coordinate client appointments
- Assist with compliance documentation and administrative processes
- Support client events, newsletters, and marketing initiatives
- Help identify opportunities to improve office systems and workflow
- Provide exceptional service to clients while maintaining the highest level of professionalism and confidentiality
What We're Looking For
- Previous experience in an administrative role (financial services experience is considered a strong asset)
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- A self-starter who is comfortable working independently and managing multiple priorities
- Positive attitude with excellent problem-solving abilities
- Proficiency with Microsoft Office (Word, Excel, Outlook) and CRM software
- Professional, dependable, and client-focused
- A willingness to learn, adapt, and contribute ideas that improve our business
