We are located on the shores of beautiful Lake Rosseau and specialize in summer camp, school trips, group retreats and leadership development for all ages. Job Purpose
The Program Coordinator (Retreats Specialist) plays a key role in delivering life-changing experiences for our guests. This position focuses on the leadership, planning, and execution of group-specific programming, including Leadership Experiences (LXs), recreational activities, facility preparation, and resource management. The Program Coordinator ensures programs are delivered with excellence, while maintaining a high standard of customer service and guest care.
Key Areas of Responsibility
Group Programming Responsibilities
Plan, oversee, and deliver high-quality group programs, including recreational activities and special events.
Coordinate training and execution of group activities, and seek feedback for continuous improvement.
Maintain group meeting spaces to ensure they are clean, organized, and guest-ready.
Manage the guest arrival process to ensure a smooth and welcoming experience.
Leadership Experiences (LXs) Facilitation
Deliver Leadership Experiences (LXs) for student and adult groups with professionalism and energy.
Prepare and maintain all supplies and equipment needed for leadership programming.
Consult with guests to understand their goals and customize experiences to meet their needs.
Provide coaching and support to seasonal staff to strengthen their facilitation skills.
Facility and Resources Management
Oversee the upkeep and readiness of The Leadership Studio, CEO Lodge, Ferndale dining hall, and associated spaces.
Organize inspections, cleaning, and maintenance of buildings, equipment, and grounds.
Coordinate with Housekeeping, Maintenance, and Production teams to ensure all spaces meet guest standards.
Support transitions between seasonal operations and assist with summer leadership programs and events.
Serve and lead Class-A meals as needed
Program Team Responsibilities
Assist in delivering an excellent guest experience through clear communication, customer service, and problem-solving
Support itinerary planning, review, and coordination for visiting groups
Serve as a resource for seasonal staff training and leadership development
Participate in and be present for seasonal staff training
Take one on-call night per week, providing emergency support for guests on site
Build strong relationships with staff, encouraging growth and development
Maintain guest information and group logistics through CampBrain and other systems
Other Responsibilities
Work cross-departmentally (Maintenance, Kitchen, Housekeeping, Summer) as needed (ex. doing dishes, shovelling snow, cleaning accommodations)
Participate in meetings as required
Participate in all corporate events including Town Halls, the Arboretum, and the annual Staff Retreat
Engage in ongoing personal and professional development
Attend weekly Cadence services and lead a small group
Weekly check-ins with one-to-ones
Flexible work hours are required based on guest bookings (mainly Tuesday–Saturday)
Qualifications/Experience Required
Post-secondary education or equivalent experience (Education or a related field preferred)
2–3 years experience working with youth in a camping, outdoor education, or similar setting
Experience facilitating or public speaking is an asset
Customer service experience is an asset

Essential Functions Required
Ability to physically navigate camp setting
Ability to speak to large groups, use a computer, and perform physical tasks
Ability to work flexible hours based on guest needs
Occasional travel to the Greater Toronto Area for meetings (6–10 times per year)
Salary Range
$35,800 to $39,000 per year including room and board.
