Medical Receptionist – Guided Spectrum

Hours: Monday–Friday, 8:15am–5:15pm
Compensation: $19–$23/hour, commensurate with experience

Guided Spectrum is a multidisciplinary therapy clinic dedicated to supporting children with special needs and their families. About the Role
We are looking for a compassionate, organized, and professional Medical Receptionist to be the welcoming face of our clinic. You will play a vital role in ensuring families feel supported from the moment they walk through our doors, while keeping day-to-day administrative operations running smoothly.
Key Responsibilities
- Greet and check in patients and families with warmth and professionalism
- Answer and direct phone calls, emails, and appointment inquiries in a timely manner
- Schedule, confirm, and manage appointments across multiple therapy disciplines
- Maintain accurate and confidential patient records in compliance with privacy regulations (PIPEDA/PHIPA)
- Liaise between families and clinical staff to ensure seamless communication
- Manage front desk operations including filing, faxing, mail, and office supply inventory
- Support intake processes for new patients, including collecting and verifying documentation
- Handle sensitive information with discretion and empathy
What We're Looking For
- 1–2+ years of experience in a medical, dental, or healthcare administrative role (experience in a pediatric or therapy setting is a strong asset)
- Proficiency with Jane App (practice management software); experience with other EMR platforms is an asset
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Strong organizational skills with the ability to multitask in a busy clinic environment
- Excellent verbal and written communication skills
- A genuine passion for working in a child-focused, special needs environment
- Ability to remain calm, patient, and compassionate when working with children and families navigating complex needs
- Knowledge of OAP (Ontario Autism Program) funding processes is considered a significant asset
- Familiarity with medical billing and insurance coordination is considered an asset
