About the Role:
The Shop Service Coordinator is the central hub of our shop operations. When customers require service on their scale equipment, we either send our technicians out to their site for a service call or they bring them in to our shop for service. You'll be in charge of keeping the shop service jobs under control!
You’ll manage customer communication through phone and email, creating work orders, assigning technicians, and invoicing, all while ensuring every job is completed accurately, safely, and on time.
This role is ideal for someone who thrives in a fast paced environment and enjoys keeping people, processes, and information moving smoothly with a high level of accuracy and attention to detail!

What You’ll Do:
- Keep track of all incoming equipment for service in Shop Job Tracking Spreadsheet
- Communicate with customers by phone and email regarding incoming equipment, and providing estimates when required.
- Create accurate work orders with customer details and service notes
- Prioritize jobs and assign technicians based on skill set, workload, and urgency
- Track technician progress and maintain up‑to‑date job notes in spreadsheet.
- Prepare repair estimates (in coordination with Sales) and obtain approvals
- Assign technicians for sales order setups
- Verify calibration certificates, technician notes, and billing accuracy before equipment is returned to customer
- Assign completed jobs to Shipping and ensure all documentation is archived properly
- Collect payment for COD customers before equipment leaves the shop
- Send invoice and quality documents to customer upon job completion
- Provide backup coverage for the External Service Coordinator
Things you are great at:
- Strong organizational skills and attention to detail
- Excellent communication skills (written and verbal)
- Ability to manage multiple priorities in a busy service environment
- Experience in a technical, service, or repair‑based setting is an asset
- Excellent knowledge with computers; working with software, scheduling systems, spreadsheets, and documentation tools, google docs, sheets, etc
- A proactive, solutions‑focused mindset
- Reliability is extremely important - we need someone who will arrive at work everyday and be on their game!
- A friendly and positive phone manner is a must!

Pay: $25.00-$27.00 per hour
