Job Overview
We are seeking a versatile, organized, and proactive Office Administrator & Bookkeeper to join our team in Richmond, BC. This is a blended role designed for someone who can independently manage routine company bookkeeping (including sales tax filings) while ensuring our daily front-office operations and customer communications run smoothly.
The ideal candidate enjoys a dynamic workday, possesses strong attention to detail for financial tasks, and has excellent communication skills to handle customer inquiries and direct them to the right departments.
Key Responsibilities
Bookkeeping & Compliance (Approx. 70%):
- Manage daily financial data entry, Accounts Payable (AP), and Accounts Receivable (AR) using QuickBooks Online.
- Perform monthly bank and credit card reconciliations.
- Prepare and issue invoices, follow up on aging receivables, and process vendor payments.
- Prepare and file quarterly/monthly GST and PST returns accurately and on time.
- Maintain organized digital financial records and organize source documents for the external CPA/Accountant for year-end closing.
Administrative & Customer Support (Approx. 30%):
- Answer customer phone calls and inquiries, log messages, and accurately classify and route customer requests to the appropriate internal departments.
- Manage incoming/outgoing office mail and monitor the general company email inbox.
- Maintain physical and digital office filing systems.
- Provide light administrative and clerical support to management and the operations team as needed.
Qualifications & Requirements
- Experience: 1–3 years of hands-on bookkeeping experience (specifically processing full-cycle data up to GST/PST filing) combined with office administrative experience.
- Software Skills: Proficiency in QuickBooks (Desktop or Online) is required. Competency in MS Office (Excel, Word, Outlook) is essential.
- Language Requirement: Fluent in English and Chinese (Mandarin and/or Cantonese) to effectively handle customer inquiries and communicate with our team and clientele.
- Core Competencies: Exceptional multi-tasking and time-management skills; high attention to detail; strong problem-solving and interpersonal abilities.
