Job Overview
The WCB & Clinic LPN is responsible for supporting the coordination, clinical preparation, and administrative processing of Workplace Compensation Board (WCB) and outpatient clinic patients at Weiss Clinic and River Cree Weiss Surgical Care +. This role ensures timely patient flow, accurate documentation, and seamless communication between clinical teams, Medical Office Assistants (MOAs), and external stakeholders including WCB case managers.
The LPN functions within scope to provide direct patient care, assist with procedures, and support physicians in delivering efficient, compliant, and patient-centered care.
Shifts: Monday to Friday: 08:00-16:30 however hours may vary
Key Roles and Responsibilities
WCB Coordination & Administration
- Manage and triage incoming WCB referrals to ensure appropriate intake and scheduling
- Coordinate with MOAs to confirm clinic bookings aligned with designated WCB clinic days
- Verify WCB claim approvals and authorization status prior to patient appointments
- Prepare and complete WCB documentation, including:
- Work readiness forms
- Progress reports and required correspondence
- Ensure all required WCB forms are accurate, complete, and submitted within required timelines
- Liaise with WCB case managers as required to support continuity of care and claim progression
Patient Scheduling & Flow
- Book patients for initial consultations and follow-up appointments
- Ensure patients are scheduled appropriately based on clinic type, physician availability, and WCB requirements
- Monitor clinic schedules to optimize patient flow and minimize delays
- Coordinate follow-up care and ensure continuity between visits
Clinical Support & Patient Care
- Perform basic patient assessments including:
- Vital signs
- Health history updates as required
- Prepare patients for physician assessment and procedures
- Perform venipuncture and blood draws, including those required for PRP (Platelet-Rich Plasma) procedures
- Assist physicians with clinic procedures as required within LPN scope of practice
Orders, Prescriptions & Documentation
- Fax prescriptions to pharmacies and confirm WCB medication coverage where applicable
- Ensure all orders and prescriptions are processed accurately and efficiently
- Prepare and send consult letters and medical documentation to referring providers and WCB
- Maintain accurate, timely, and complete documentation within the patient’s medical record (EMR)
Communication & Collaboration
- Collaborate closely with MOAs, physicians, and clinic staff to ensure coordinated patient care.
- Collaborate directly with the Operations Manager of Specialty Access and Programs with daily needs and requirements
- Act as a key communication liaison between Weiss/RCW, WCB, and external providers
- Provide clear and professional communication to patients regarding appointments, forms, and care plans
Compliance & Quality
- Ensure all activities align with Weiss & RCW policies, WCB requirements, and applicable regulatory standards
- Maintain confidentiality and privacy of patient health information in accordance with provincial legislation
- Support quality improvement initiatives related to clinic flow, documentation accuracy, and patient experience
Qualifications & Requirements
- Active Licensed Practical Nurse (LPN) registration in good standing
- Minimum 5 years of clinical experience in ambulatory or outpatient settings preferred
- Current BLS certificate
- Experience with WCB processes and documentation considered an asset
- Proficiency in venipuncture and specimen collection
- Strong organizational skills with high attention to detail
- Effective communication and coordination skills in a fast-paced clinical environment
