We are seeking an experienced Executive Assistant to provide direct administrative and organizational support to management. This is a hands-on role for someone who is highly organized, dependable, professional, and comfortable managing a wide variety of responsibilities.
The successful candidate will help keep priorities organized, communications moving, and important tasks completed. The role requires strong judgment, attention to detail, discretion, and the ability to work independently without needing repeated follow-up.
Key Responsibilities
- Manage calendars, appointments, meetings, reminders, and changing priorities.
- Monitor deadlines, commitments, and outstanding matters and follow up as required.
- Draft and edit emails, letters, reports, summaries, and other professional correspondence.
- Organize files, records, documents, contact information, and internal communications.
- Coordinate meetings, prepare materials, take notes, and track action items.
- Assist with travel arrangements, reservations, purchases, and scheduling.
- Communicate professionally with customers, suppliers, employees, tenants, and other contacts.
- Support management with quotations, orders, invoices, forms, and general business administration.
- Assist with property-related administration, errands, and occasional personal-assistance tasks.
- Review documents and information for accuracy, completeness, and consistency.
- Help coordinate special projects and ensure tasks are completed on time.
- Conduct occasional research and prepare concise summaries when required.
- Handle confidential and sensitive information with discretion.
Required Skills and Experience
- At least five years of relevant experience as an Executive Assistant, Administrative Assistant, Office Manager, Personal Assistant, or in a comparable support role.
- Excellent organizational and time-management skills.
- Strong professional writing, editing, and communication abilities.
- Ability to manage multiple priorities and adapt when plans change.
- Strong attention to detail and a high level of accuracy.
- Ability to work independently, exercise sound judgment, and take initiative.
- Professional and confident communication by email, telephone, and in person.
- Strong follow-through and the ability to keep track of outstanding tasks without repeated reminders.
- Comfortable using common office technology, online systems, and modern productivity tools.
- Discretion when handling confidential business and personal information.
