Our client is an established and growing organization specializing in mechanical and fire protection services, with a strong reputation for quality, reliability, and technical expertise. Serving commercial, industrial, institutional, and other construction markets, the company provides critical fire protection solutions that help protect people, property, and businesses.
This is an excellent opportunity for a Fire Protection Coordinator to join a team where attention to detail and technical knowledge have a direct impact on customer safety and project success. The role offers exposure to service, inspections, construction coordination, estimating, and subcontractor management, making it an ideal opportunity for a fire protection professional looking to develop a broad understanding of the industry.
As the Fire Protection Coordinator, you will support the successful coordination and administration of fire protection service and construction activities.
Inspections & Deficiency Management
- Review and track incoming inspection reports to ensure deficiencies are identified, documented, and addressed in a timely manner.
- Review subcontractor quotes and inspection information to determine appropriate requirements and costs.
- Prepare and submit quotes for deficiencies based on inspection reports and supporting documentation.
- Maintain accurate records and follow up on outstanding deficiencies, quotes, and customer approvals.
Service & Estimating
- Prepare and submit quotes for service calls, small contracts, and construction projects.
- Review service requirements and available information to develop accurate and competitive quotations.
- Coordinate with clients, subcontractors, and internal teams to clarify scope, pricing, scheduling, and project requirements.
- Ensure quotes are prepared accurately and submitted within required timelines.
Project & Construction Coordination
- Assist with the coordination of new construction projects, including material orders, documentation, and site instructions.
- Review sprinkler drawings to support project coordination and identify potential issues or requirements.
- Assist with coordinating project requirements between internal teams, subcontractors, suppliers, clients, and other stakeholders.
- Help ensure materials and information are available when required to support project schedules and successful execution.
Scheduling & Client Coordination
- Assist with scheduling inspections with subcontractors and clients while ensuring appointments and project requirements are clearly communicated.
- Coordinate information between clients, inspection personnel, subcontractors, and internal stakeholders.
- Follow up on outstanding items and proactively communicate scheduling changes or project requirements.
- Maintain professional and responsive relationships with clients and service partners.
Financial & Administrative Support
- Review and process invoices from suppliers and subcontractors, working closely with Accounts Payable and Accounts Receivable to ensure accurate and timely processing.
- Verify invoices against quotes, work completed, and project requirements.
- Maintain organized project and service documentation to support accurate billing and financial administration.
- Assist with resolving discrepancies or questions related to supplier and subcontractor invoices.
Education & Experience:
- A Bachelor's degree in Fire Science or Fire Protection is preferred.
- A three-year diploma in Fire Protection will also be considered.
- Knowledge or experience with sprinkler systems is an asset.
- Previous experience in fire protection, inspections, estimating, service coordination, or construction administration is an asset.
Technical Skills:
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability and willingness to develop proficiency in additional corporate software and technology solutions.
- Ability to read and review sprinkler drawings is an asset.
- Knowledge of the Ontario Building Code Act and associated regulations is considered an asset.
- Strong organizational skills with the ability to manage multiple quotes, inspections, service requests, and administrative priorities.
