Overview
We are seeking a professional and organized Administrative Assistant/Receptionist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong clerical skills, proficiency in office software, and excellent communication abilities to effectively manage front desk duties and administrative tasks.
Responsibilities
- Greet visitors and clients in a friendly, professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks as needed
- Handle scheduling, appointment setting, and calendar management for staff and clients
- Assist with filing, document organization, and proofreading correspondence for accuracy
- Provide customer support via phone, email, or in person to ensure client satisfaction
- Support bookkeeping tasks such as invoicing and basic financial record keeping
- Maintain a clean and organized reception area to promote a welcoming environment
- Perform general clerical duties including copying, scanning, and faxing documents
Requirements
- Proven experience in an office environment or as a front desk receptionist
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks preferred
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Effective phone etiquette and customer service skills
- Ability to handle multiple tasks efficiently in a fast-paced setting
- Experience with data entry, filing systems, and proofreading documents
- Strong typing skills with accuracy and speed
- Ability to work independently and as part of a team
