About the Position
We are seeking an enthusiastic, organized and dependable Real Estate Legal Assistant / Executive Assistant to provide direct support to a busy real estate lawyer and assist with the day-to-day operations of the firm.
Responsibilities
- Provide administrative and executive support to the principal lawyer.
- Support the firm’s purchase, sale and refinance clerks with file opening, document preparation, searches, closing requirements, reporting and post-closing matters.
- Assist with mortgage enforcement, private lending and other real estate-related matters.
- Communicate professionally with clients, lenders, mortgage brokers, real estate agents and other law offices.
- Maintain file status reports, calendars, deadlines and follow-up lists.
- Assist with client and lender reporting.
- Assist with billing, invoice tracking, expenses, bookkeeping records and coordination with the firm’s bookkeeper.
- Maintain organized electronic files, office records, templates and procedures.
- Assist with office-related matters and general legal matters as required by the lawyer.
- Provide overflow support and assist with other administrative duties as required.
Qualifications
- At least one year of experience in an Ontario real estate law office is preferred.
- Strong interpersonal skills, with a willingness to take initiative and drive new projects from planning through completion.
- A legal assistant or law clerk diploma is an asset.
- Familiarity with PCLaw, Teraview, OnLand and real estate conveyancing software is an asset.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines.
- Willingness to learn and appropriately use AI tools to improve efficiency while complying with firm policies and confidentiality obligations.
- Strong written and verbal communication skills.
- Comfortable using Microsoft Office and learning new technology.
- Professional, dependable and able to handle confidential information.
- Positive attitude, enthusiasm and willingness to take initiative.
- Bookkeeping or accounting experience is an asset but is not required.

- Salary of $45,000 to $50,000, depending on experience.
