Program Overview:
The PowerUp Program Coordinator is responsible for the overall supervision and administration of our current PowerUp Programs (PowerUp Explore, PowerUp Ready, PowerUp Community Events). This includes project coordination, planning, organizing, leading, growing and risk management for program activities. The Coordinator is responsible for ensuring all YWCA procedures, policies, and budgets are followed and ensuring any staff or volunteers they may supervise are in compliance with these procedures and policies in addition to effective leadership and management. The Coordinator contributes to the advancement and achievement of the YWCA mission, vision, values, guiding principles, strategic plan, business plan, and departmental plan.
Essential Duties of Position:
- Advance the vision of the YWCA Halifax
Program Management
- Responsible for the overall coordinator and administration of the Power Up programs (Ready and Explore) as designated by the Team Lead and Manager
- Responsible for developing work plans for areas of responsibility, achieving goals/outcomes/objectives, and reporting on results of outcomes/outputs, and course correcting as required ensuring achievement of goals/objectives.
- Ensure that program activities operate within the policies and procedures of the YWCA and ensure the development and implementation of appropriate operational/program procedures for designated projects and programs for approval by Manager.
- Ensures high quality of programs for designated projects and implements a regular and robust program evaluation (meeting both funder and overall organizational needs) to assess the strengths of the program and to identify and assess areas for improvement.
- Ensures that program activities comply with all relevant legislation and insurance coverage.
- Develops and implements appropriate systems to ensure monitoring of designated program activities and tracking towards the stated project/program goals and outcomes.
- Maintains appropriate program record-keeping in accordance with the YWCA policies and procedures, and confidentiality/privacy policies.
- Provides regular program reports to Team Lead within specific reporting schedule using provided templates.
- Identifies, reports on, and evaluates the risks associated wit the program activities and takes appropriate action to control the risks.
- Responsible for ensuring narrative reports to funders are delivered accurately, appropriately and within deadlines. Work collaboratively with Team Lead to ensure this happens timely and completely.
- Undertakes research in program areas and best practices to ensure program quality and innovation
- Supports the identification, development, and submission of funding proposal narratives, working closely with Manager and Team Lead.
- Ensures the planning of the overall program and it’s activities in accordance with the mission, goals, strategic directions and guiding principles of the YWCA
- Develops new initiatives to support the strategic directions of the YWCA
- Develops and implements long-term plans, goals and aids in support of programs and projects.
Financial Management
- Ensures that the designated projects and program operate within the approved budget, including proactive achievement of revenue goals if applicable. Responsible for management of specific, designated and approved budget lines as delegated by Team Lead.
- Ensure the program operates within approved YWCA financial policies and procedures, including purchase order and billing procedures
- Ensures effective management of all financial records
Grant development
- Writes or supports the writing of grants proposals as needed
- Mobilizes community partners for prospective projects/programs
- Identifies prospective opportunities based on program participant feedback and provincial/federal funding priorities.
Other Duties
- Communicates with stakeholder to gain community support for programs and to solicit input on how to improve programs
- Nurtures and forms meaningful community partnerships
- Serves on Community/Sector task forces and committees as appropriate
- Participates in YWCA and community-based advocacy activities that are consistent with YWCA policies
- Supports partnerships, extension work, and other activities within the YWCA movement
- Ensures the maintenance of all files, information, systems and databases related to areas of responsibility
- Other duties as delegated by Team Lead, Manager, Director and/or Executive Director
Working Conditions
- Coordinators usually work in an office environment, but programs and projects may take employees to non-standard workplaces (e.g. workshops in community locations)
- Coordinators usually work standard work week with pre-set office hours but may be required to works some evening and weekends to meet project/program milestones, deadlines or deliver programs/services. Schedules and adjustments approved by Team Lead and Manager.

Qualifications and Experience:
Undergraduate degree in related field or equivalent experience, understanding of program management and evaluation in an outcomes-based framework, strong administrative skills, strong financial management skills, organizational development and advocacy skills and an ability to work independently and in a team environment. In addition, effective interpersonal, supervisory and organizational skills, high level of computer literacy, ability to maintain collaborative partnership, internal and external to the organization, knowledge and interest in working with newcomer communities and community development strategies from a feminist theoretical perspective.
