Founded in 2010, PhysioWorks is a progressive multi-disciplinary clinic offering physiotherapy, massage therapy, and active rehabilitation (kinesiology) services to Kitsilano, UBC and surrounding communities. PhysioWorks currently has two clinic locations: one located on West 4th in Kitsilano and another at Wesbrook Village (UBC). Each clinic offers clean and modern private treatment rooms, a full on-site gym, and we pride ourselves on the little touches, such as the use of scent-free natural cleaners. Our services range from injury prevention and rehabilitation to performance training and are appropriate for people of all ages and abilities. We never compromise on treatment quality through continual learning opportunities for our therapists, the tools to custom-design treatment programs in order to meet the unique needs of each client, and monthly in-services where our therapists come together to practice and hone their skills in a group setting.
The Job:
We are currently looking for a reliable, self-assured candidate to join our reception team. This team is what helps keep the clinic running smoothly and supports our clients with any needs that they may have outside of treatment. The candidate must be willing to work at both locations if needed. There will be some flexibility if there is a preference between clinics, and we will do our best to accommodate this. This is an excellent opportunity for students who plan to pursue careers in integrative healthcare or anyone who is looking to learn more about medical office administration.
Primary responsibilities:
- Greeting patients and guests in a welcoming and professional manner, checking them in to their appointments, and providing them with any necessary updates on their treatment coverage.
- Support clients by helping them book appointments, confirm appointments, coordinate medical record retrieval, and perform any other tasks that are requested by therapists.
- Act as the first point of contact for clients and other medical providers via phone, email and/or fax.
- Coordinate and manage third-party claims to ensure approval, such as ICBC, MSP, and other private insurance through the Jane app platform.
- Collect payment at the time of service
- Complete data entry and billing
- Assist patients with completing paperwork at the clinic to avoid errors and inaccurate information
- Responding to our online booking request with accuracy and promptness
- Performing ongoing, shift-specific duties (administrative and other)
- Maintain our high standard of health and cleanliness by regularly tidying and cleaning rooms for clients, processing laundry to ensure each session has fresh linens and performing other general clinic maintenance as assigned. Housekeeping duties include laundry and daily cleaning of the clinic.
- Maintain strong relationships and confidentiality that promote trust and client satisfaction.
- Provide administrative support to the Client Care Coordinator Manager and Director of Operations.
Currently, we are hiring one part-time receptionist for three shifts per week split between our Wesbrook Village and West 4th locations. Based on summer schedules, there will be the opportunity of additional shifts to cover for vacation time.

- Excellent communication (verbal/written) and interpersonal skills
- Excellent organisational and efficiency skills
- Strong attention to detail is required
- Outstanding phone etiquette and a positive attitude are essential to this role
- Demonstrates professionalism, empathy and can act as a team player
- Strong computer and data entry skills
- Ability to handle a fast-paced environment while delivering excellent customer service.
- Strong problem-solving and multi-tasking skills are required
- Flexible and adaptable to change
- Prior clinic experience and experience with the Janeapp system is strongly preferred, but not required.
- Medical Office Assistant certificate of achievement or equivalent in clinic experience is an asset.

Job Type: Part-time (16-24 hours)
Pay: $18.00-$20.00 per hour
