Position Summary
We are seeking a highly organized and detail-oriented Administrative Associate who will be responsible for handling client inquiries and requests, as well be the lead for administrative tasks with our clients.
Key Responsibilities
- Serve as a first point of contact for clients, both in person and by phone/email
- Schedule and coordinate client review meetings and follow-ups with our advisor team
- Prepare client files, forms, and documentation for advisor meetings
- Maintain accurate client records and ensure confidentiality of sensitive information
- Be the lead with account openings, transfers, transactions, and routine service requests in a timely manner
- Ensures clients and the firm is up to date on compliance requirements
- Manage office communications, correspondence, and document management
- Coordinate office supplies and assist with basic office management duties
Qualifications & Skills
- Previous experience working in the financial services industry as an associate, advisor or administrative role is an asset
- Mutual Fund certification with current accreditation and good standing for CIRO licensing requirements (Canadian Securities Course or Investments Funds in Canada) or willingness to obtain within 60 days of start date
- Strong organizational skills and comfortable working independently. Willing to take ownership of their responsibilities
- High level of professionalism and communication skills with clients face-to-face or over the phone

Pay: $45,000.00-$55,000.00 per year
