Position Summary:
The Fine Art Operations Specialist is responsible for coordinating the safe, compliant and efficient transportation of fine art, cultural property and museum collections across local, domestic, cross-border and international destinations. Acting as the operational link between dispatch, warehouse teams, transportation crews and fine art coordinators, this role ensures every shipment is meticulously planned, documented, monitored and executed according to museum standards and industry best practices.
Unlike traditional freight logistics, this position requires an understanding of artwork handling and the unique expectations of museums, galleries, artists, collectors and cultural institutions.
Main Responsibilities:
- Understand and execute museum-standard collections care and object handling practices.
- Coordinate specialized packing, crating, storage, installation and courier requirements.
- Plan domestic, cross-border and international transportation of fine art, artifacts, museum collections, exhibitions and cultural property.
- Coordinate transportation schedules with fine art coordinators and transportation crews.
- Serve as the operational and primary customer contact for assigned projects from booking through final delivery, providing shipment updates and proactive communication throughout each project.
- Prepare complete job packages for transportation crews, ensuring all required documentation is accurate and complete.
- Verify shipment details, client information, special handling instructions, insurance requirements and scope of work prior to dispatch.
- Conduct pre-shipment confirmation calls to verify schedules, site access, special handling requirements and project readiness.
- Provide timely shipment updates, revised ETAs and notification of operational changes; supporting problem-solving as required while maintaining the safety and security of artworks.
- Ensure full project documentation is properly completed and filed in our database system.
- Other related duties as required.
Required Experience and Skills:
- Degree or diploma in Museum Studies, Fine Arts, Art History, Collections Management, Cultural Heritage, Logistics, Supply Chain or a related discipline is preferred.
- Experience coordinating fine art, museum, gallery, auction house or cultural property transportation highly desirable.
- Experience with artwork registration, collections management, exhibitions or museum operations is highly desirable.
- Experience with domestic and international logistics preferred; ideally in dispatch, transportation coordination or operations.
- Experience preparing customs documentation and coordinating cross-border shipments is considered an asset.
- Strong computer skills, including experience using database systems and Microsoft Word, Excel and Outlook.
- Strong command of English, written and spoken is required; additional languages may be an asset.
- Due to client commitments and the nature of this work, this role may require after-hours support calls/emails when necessary.
