As part of our continued growth and commitment to assessment excellence, NDAEB is creating a new Clinical Practice Evaluation (CPE) Registration Lead position to join our team in Ottawa.
This newly established role is ideal for an organized, detail-oriented professional who enjoys coordinating complex processes, supporting candidates, and contributing to the successful delivery of national assessments. You will play a key role in administering registration activities for Clinical Practice Evaluations (CPEs) across Canada while ensuring accuracy, confidentiality, and exceptional service throughout the candidate journey.

What You'll Do
Clinical Practice Evaluation Registration & Administration
- Coordinate Clinical Practice Evaluation (CPE) registrations in collaboration with national site partners and internal assessment teams.
- Review and process applications, withdrawals, accommodations, and candidate documentation.
- Maintain accurate candidate records, registration information, and supporting documentation.
- Coordinate registration confirmations, admission letters, receipts, results letters, and certificate correspondence.
- Respond to candidate inquiries with professionalism, accuracy, and empathy.
- Support candidate appeals and special registration circumstances through established processes.
- Participate in certificate preparation, release, and distribution activities.
- Support examination operations and participate in the weekend on-call rotation as required.
Reporting & Operational Coordination
- Prepare evaluation statistics, operational reports, quarterly updates, and annual reporting.
- Track candidate outcomes, and evaluation and reevaluation activity.
- Review evaluation reports, invoices, and operational information to identify trends and opportunities for improvement.
- Support leadership with accurate reporting and operational insights.
- Ensure approved communications and reports are distributed accurately and confidentially.
Documentation & Quality Assurance
- Maintain forms, manuals, templates, and evaluation resources.
- Support document review, translation coordination, and version control processes.
- Ensure documentation remains accurate, current, and aligned with operational requirements.
- Support updates to candidate handbooks, application forms, website content, and related evaluation resources.
- Maintain secure storage and confidentiality of evaluation materials and records.
Financial & Systems Support
- Review and reconcile candidate payments, invoices, reimbursements, and evaluation-related expenses.
- Support budget-related activities and financial tracking.
- Reconcile Stripe payment transactions and financial records.
- Assist with evaluation system administration and issue escalation.
- Coordinate with internal and external partners to support efficient evaluation operations.
Training & Team Support
- Provide guidance and training to new and existing staff.
- Support travel and expense systems, including Concur and Corporate Traveller/MELON.
- Contribute to procedure development, documentation, and continuous improvement initiatives.
- Support operational readiness and cross-functional team collaboration.
What We're Looking For
Required Qualifications
- Postsecondary education in Office Administration, Health Sciences, Regulatory Affairs, Business Administration, or a related field.
- Minimum three years of experience in administrative coordination, program administration, examination/evaluation delivery, registration, or operational support.
- Strong organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Experience managing confidential information with professionalism and discretion.
- Strong proficiency with Microsoft Office and database systems.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
Assets
- Experience working within a regulatory, certification, examination, healthcare, or education environment.
- Education in dental assisting or related healthcare experience.
- Experience with registration systems, databases, or candidate management platforms.
- Experience with financial reconciliation and reporting processes.
- Bilingual proficiency in English and French.

Workplace
Work is primarily conducted onsite at the NDAEB office in Ottawa, with flexibility required based on operational requirements. This role may require occasional evening or weekend work, participation in an on-call rotation, and periodic travel.
The salary range for this position is $60,000 to $70,000 annually, commensurate with qualifications, experience, and demonstrated competencies.
