2026 Senior Administrative Assistant, People and Culture
(1) Permanent Non-Unionized Opportunity - Bilingual Position
The Position:
The Senior Administrative Assistant, People and Culture provides administrative/clerical, analytical and systems support services to the People and Culture team, reporting to the Director of People and Culture. In this capacity the Senior Administrative Assistant, People and Culture responsibilities include:
Training Administration and Support
- Run and analyze reports and conduct regular audits/reviews of all mandated training for employees, ensuring completion and compliance and:
- Pull and file training attendance records, individual employee certifications, etc.
- Undertake any related employee follow up accordingly.
- Ensure the Human Resources Information System (HRIS) is updated regularly with mandatory training information from third-party vendors.
- Register employees for internal and external training programs, including both mandatory and non‑mandatory sessions.
- Support the tuition reimbursement processes by assisting with registration and expense payment submissions and documentation, ensuring compliance with internal Policies and Procedures.
- Assist with the student placement and paid summer student recruitment and onboarding process
Recruitment and Staffing Support
- Coordinate the schedule of language assessments with third-party vendors.
- Draft employment-related letters/correspondence throughout the employee lifecycle, including recruitment, onboarding and employment status changes.
- Responsible for completing the full cycle recruitment for all casual employees
- Maintains a tracking system and ensures timely follow up and notification of all contract extensions.
Reporting, Scheduling & Administrative Support
- Assist with the scheduling and administration of compressed workweek arrangements through the HRIS.
- Support P&C reporting requirements, including the preparation of monthly reports.
- Handles both internal and external People and Culture related inquiries.
- Maintains employee lifecycle documentation in the HRIS.
- Conducts regular audits of employee personnel files to ensure accuracy, completeness, and compliance.
- Research, format, and analyse reports/statistical data collection and administrative control procedures, as required.
Qualifications:
- University degree in a field such as Human Resources or Business Administration, or a College Diploma in a related field with equivalent experience.
- Certified Human Resources Leader (CHRL) designation is an asset.
- Minimum two (2) years of experience within a Human Resources Department or a related field, including progressive responsibility in an administrative capacity or customer service environment.
- Demonstrated ability to support and contribute to team effectiveness.
- Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by people related to gender identity, gender expression and sexual orientation and then faced within the 2SLGBTQIA+ communities.
- Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by Indigenous peoples and racialized communities.
- Applies anti-racist, anti-ableist, anti-indigenous racism and anti-2SLGBTTQIA+ lenses to social problems.
- Experience with a variety of computer applications including Office 365 and Human Resources Information Systems.
- Strong interpersonal, organizational, and time management skills.
- Ability to communicate in both official languages is required. Testing in reading, writing and speaking will be conducted.
