Bookkeeper & Accounting Administrator

About the Position
We are looking for a detail-oriented Bookkeeper & Accounting Administrator to join our team and work full-time from our Calgary office.
This is an excellent opportunity for someone with hands-on QuickBooks Online experience who enjoys organization, accuracy and working within clearly established processes while leading a team.
Our organization operates multiple companies, and we are implementing a structured financial-control system with documented bookkeeping procedures and workflows.
You will work closely with management and our accounting team to keep the day-to-day bookkeeping for our companies accurate, organized and current.
What You’ll Be Responsible For
Your day-to-day responsibilities will include:
- Entering and categorizing transactions in QuickBooks Online
- Inputting and processing payroll for all inter-company accounts
- Managing and reviewing bank and credit-card feeds
- Matching transactions to existing bills, invoices and payments
- Entering supplier bills and expenses
- Recording customer payments
- Assisting with accounts payable and accounts receivable
- Maintaining supporting documentation for transactions
- Processing and documenting intercompany transactions according to established procedures
- Assisting with bank and credit-card reconciliations
- Reviewing transactions for missing receipts, invoices or documentation
- Maintaining organized digital accounting records
- Communicating with project managers and office staff regarding missing information or documentation
- Assisting with routine accounting administration
- Working across multiple company QuickBooks Online files
- Following established bookkeeping procedures, checklists and financial controls
What We’re Looking For
The ideal candidate has:
- Hands-on experience using QuickBooks Online
- Approximately 3–5 years of bookkeeping, accounting-assistant or accounting-administration experience.
- Payroll experience 3-5 year
- Basic understanding of accounts payable, accounts receivable, bank reconciliations and credit-card transactions
- GST reporting and filing experience
- Good working knowledge of Microsoft Excel and Microsoft 365 apps
- Strong attention to detail
- Excellent organizational skills
- Confidence working with multiple companies and priorities
- Strong communication skills
- A willingness to ask questions when something does not look right
- The ability to follow documented procedures consistently
- A positive attitude toward training, feedback and continuous improvement
Experience in construction, trades, property development or a multi-company environment is considered an asset but is not required.
Accounting education, bookkeeping coursework, or current/recent enrolment in an accounting or business program is also an asset.

We’re looking for someone who is organized, teachable, dependable and process-oriented.
Our bookkeeping system is being intentionally standardized so transactions are handled consistently across our companies. You will receive clear procedures for how different transaction types should be processed.
We value someone who can follow those procedures carefully while also recognizing when something is unusual and needs to be escalated before proceeding.
We would rather have someone who says “I’m not sure — let me check the procedure or ask” than someone who guesses and creates an accounting issue that needs to be corrected later.

Requirements
Required:
- QuickBooks Online experience 1-3 Years
- Payroll processing 3-5 Years
- GST reporting and filing
- Strong computer skills
- Comfortable working with numbers and financial records
- Ability to work full-time on-site in our Calgary office
- Strong attention to detail and organization
Assets:
- Bookkeeping or accounting certificate/diploma
- Previous accounting-administration experience
- Construction or trades experience
- Multi-company bookkeeping experience
- Microsoft Excel experience
