This role is an organizational specialist responsible for a variety of tasks related to maintaining the operational assets of a pharmaceutical facility. The responsibilities include planning and implementing preventative maintenance, liaising with service providers and the Maintenance Team, performing regular inspections of supplies, and managing the asset database.

Key Responsibilities, include but are not limited to:
Maintenance & Calibration Coordination
· Coordinate planned maintenance and calibration scheduling and tracking for GMP manufacturing facilities and GMP laboratory facilities
· Monitor maintenance and calibration due dates and proactively schedule activities to support manufacturing, laboratory, and equipment utilization targets
· Collaborate with Operations, Analytical, and Microbiology teams to ensure maintenance and calibration requirements are completed in a timely manner
Asset Management & Performance Monitoring
· Utilize trending tools to monitor equipment usage, maintenance and calibration intervals, and asset performance
· Identify overdue activities, equipment exceptions, and performance concerns, escalating issues as appropriate
Documentation & Records Management
· Create, maintain, and distribute work orders, reference SOPs, logbooks, and maintenance and calibration records as required
· Review completed work orders, reference SOPs, logbooks, and calibration and maintenance records as required
· Ensure all team members follow accurate, contemporaneous documentation principles
Quality & Compliance
· Assist in maintaining the quality system by ensuring SOPs, maintenance and calibration records, compliance documentation, and asset information remain accurate and up to date
· Ensure departmental readiness for internal audits and regulatory inspections
Continuous Improvement
· Support continuous improvement initiatives related to maintenance and calibration planning and operational efficiency
Qualifications - (Education, Certification, Degree, Skills, Knowledge, etc.)
Education
· Post-secondary degree or diploma in business, operations management, logistics, or a related field.
Experience:
· 1-3 years in an administrative, maintenance coordination, asset management, or similar role.
· Strong proficiency with MS Office Suite (Word, Excel, Outlook) is required.
· Experience working with equipment maintenance systems or asset management systems is a plus.

Working Conditions:
· Required travel between Edmonton API sites.
