Description:
The Office Coordinator will be responsible for the daily administrative and customer service requirements in the main office for the Summerside Residents Association (SSRA). They will be the first point of contact for residents, guests, contractors and traffic entering the office.
Reporting:
The Office Coordinator position reports to the Office Manager/Bookkeeper of Summerside Residents Association.
Duties:
Without limiting the generality of the foregoing, the Office Coordinator will be responsible for the following administrative, operational, safety and leadership tasks.
Administrative Functions:
● Take hall reservations, outdoor bookings, program registrations for customers. (in person,online or over the telephone)
● Prepare and provide hall booking/tent rental/outdoor booking inspection sheets for the beach staff
● Perform rental/booking refunds.
● Contact residents of any cancellations
● Validation and issuing of membership cards, update membership information and files accordingly
● Answer phone calls, take customer complaints, and solve or redirect as needed
● Provides members with information and procedures for rental spaces
● Prepare annual resident fee invoicing and help with distribution.
● Work with lawyers for delinquent payments and collections.
● Receive payment of membership fees, hall bookings, etc.
● Maintain accurate records of all SSRA safety program policies and procedures as required
● Prepare bank deposits under the supervision of the Bookkeeper
● Office and cleaning supply inventory and stock
● Database accuracy
● Other administrative duties as needed
Safety:
● Ensuring all Workplace Health and Safety requirements are met including SSRA’s safety policies and procedures
● Ensuring safe work conditions exist at all times
Operational Functions:
● Front of line service for all the resident’s needs
● Enforcing rules and regulations of the park
● Provide excellent customer service and lead the seasonal employees by example
● Support the Office Manager and General Manager as required
Hours of Employment
● Hours of employment are generally Monday to Friday, 9am-5 pm. These times are subject to change depending on the needs of the administrative office
● Required to work 37.5 hours per week
Requirements
- Proven experience in office administration or related roles with strong clerical and organizational skills.
- Supervising experience or team management background is preferred.
- Experience with front desk operations, multi-line phone systems, and office software tools.
- Excellent communication skills coupled with professional phone etiquette.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Demonstrated ability to manage vendor relationships .

Pay: $20.00-$22.00 per hour
