Wheaton Collision Centre is looking for an organized, detail-oriented Shop Administrator / Close-Out Coordinator to join our team. This role is responsible for finalizing completed repair files, processing invoices, and helping ensure a smooth and positive vehicle pickup experience for our customers.
Key Responsibilities
- Review completed repair files for accuracy and missing information
- Check parts, labour, sublets, materials, and supplements before final billing
- Prepare, scan, save, and submit required insurance documents
- Notify customers when vehicles are ready for pickup
- Assist with rental returns, shuttle coordination, and customer handovers
- Reconcile invoices, payments, deductibles, and billing adjustments
- Maintain organized digital and physical filing systems
Qualifications
- Strong computer skills and comfort working with digital files, PDFs, email, and databases
- Basic accounting, bookkeeping, invoicing, or accounts receivable experience preferred
- Excellent attention to detail and accuracy
- Strong communication and customer service skills
- Automotive, autobody, dealership, or insurance experience is an asset
- Willing to train the right candidate
