Job Summary
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily administrative tasks, providing excellent customer service, and ensuring smooth office operations. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple responsibilities efficiently. Experience in medical or dental office settings is a plus, but not required. The Office Administrator will serve as the first point of contact for clients and staff, supporting various administrative functions to contribute to the overall success of the organization.
Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other relevant software
- Handle scheduling, appointment setting, and calendar management for staff and clients
- Assist with bookkeeping tasks using QuickBooks and other accounting tools
- Provide customer support by addressing inquiries via phone, email, or in person
- Proofread documents for accuracy and clarity before distribution
- Support administrative functions such as document preparation, photocopying, and mailing
- Maintain office supplies inventory and coordinate orders as needed
- Ensure compliance with office policies and procedures to promote a productive work environment
Qualifications
- Proven experience in office administration or clerical roles; experience in medical or dental offices is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills including data entry, typing, proofreading, and familiarity with multi-line phone systems
- Excellent organizational skills with attention to detail and accuracy
- Exceptional customer service skills with professional phone etiquette
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Prior experience with QuickBooks or bookkeeping is preferred but not mandatory
- Strong organizational skills with the ability to prioritize tasks effectively
- Previous experience working at a front desk or as a receptionist is desirable
- Knowledge of medical or dental office procedures is a plus but not required
Pay: $17.20-$22.00 per hour
