Markham Heating and A/C Systems has been keeping homes in Markham, Stouffville, Richmond Hill, and surrounding areas comfortable for over 30 years. We’re looking for a Customer Service Representative (CSR) to help us deliver an excellent experience to every customer — from the first phone call to the completed job. If you’re organized, friendly, and like solving problems, this role is for you.
Responsibilities
- Answer incoming calls, texts, and online inquiries in a polite, fun and professional manner.
- Schedule and confirm service appointments using Housecall Pro (training provided, but experience preferred).
- Make outbound calls to existing customers to book tune-ups, maintenance plans, or system upgrades.
- Order and track parts/supplies for upcoming jobs, and ensure materials are properly job-costed and recorded in Housecall Pro for accurate invoicing and margin tracking.
- Coordinate with technicians to ensure efficient routing and dispatch.
- Follow up on quotes, service reminders, and maintenance plan renewals.
- Handle payments, warranties, and general administrative tasks.
- Assist with customer retention by offering tune-ups, memberships, or financing options.
- Keep accurate notes and customer details in the CRM system.
- Support the operations team to ensure smooth day-to-day workflow.
Qualifications
- 1–3 years of customer service, dispatch or administrative experience (HVAC, plumbing, or trades, mandatory)
- Strong communication skills — clear, friendly, and confident on the phone.
- Familiarity with Housecall Pro, ServiceTitan, or other HVAC scheduling and dispatch platforms
- Organized and detail-oriented with good multitasking ability.
- Computer-savvy; experience with mentioned CRM or scheduling software is an asset.
- Positive attitude, willingness to learn and drive to grow into managerial roles (We are serious about growth).
- Reliable, punctual, and team-oriented.
Compensation & Benefits
- $20–$28/hr depending on experience.
- Bonuses/Commission structure paid for new jobs booked.
- Performance bonuses for booked outbound calls, installs and maintenance plan sales.
- Remote / Hybrid is encouraged
- 2 weeks paid vacation + paid stat holidays.

- Training provided on HVAC systems and customer communication + Paid Professional Sales / CSR training courses
- Opportunities to grow into dispatch or inside sales roles.
Schedule
- Monday to Friday, 8:00 AM – 5:00 PM (OT available and paid)
- Saturday and Sunday shifts based on availability and seasonal demand
